Express Employment Professionals Office Assistant in Hoodsport, Washington

An established Mason Co. construction company is looking for a detail-oriented, proactive office assistant to provide vital support to our construction team by efficiently managing administrative tasks and ensuring the smooth operation of our office. She or he must be reliable, friendly, flexible, and have a strong attention to detail. Previous experience is a plus! The successful applicant must have a clean appearance and look professional. To be successful in this role, the candidate must be a self-starter, highly motivated, and come with a background in office work.

ROLES AND RESPONSIBILITIES

Under direction of the General Manager, the Office Assistant would be responsible for:

  • Perform basic bookkeeping tasks, such as data entry, scanning and classifying receipts, invoice processing, expense tracking, bill creation, and reporting.
  • Performing monthly reconciliations in QuickBooks Online
  • Performing clerical tasks, such as filing, printing, scanning, mailing letters, checking VMs, picking up mail, etc.
  • Maintain a clean and organized office environment, ensuring that common areas, workspaces, and storage rooms are presentable, organized, and functional.
  • Maintain and stock premade Pre-Hire and New-Hire folders.
  • Review and respond to emails on behalf of GM; identify and flag emails that require GM follow-up.
  • Coordinate and schedule appointments, meetings, and conferences, ensuring all necessary arrangements are made.
  • Maintain adequate stock of office supplies.
  • Maintain and organize physical and digital office records, documents, and files.
  • Maintain Supplier and Subcontractor Management program.
  • Manage Key Checkout and Credit Card Checkout processes.
  • Provide HR support, which includes completing new employee onboarding, performing pre-hire reference and background checks, drug testing, etc.
  • Track and report on metrics, as assigned.
  • Performing daily, weekly, and monthly tasks, as established.
  • Other duties as assigned.

QUALIFICATIONS AND EDUCATION REQUIREMENTS

Strong ability to:

  • Use a computer, printer, scanner, and shredder,
  • Follow and give oral and written instructions,
  • Work effectively in a fast-paced and dynamic environment,
  • Maintain cooperative working relationships, and
  • Demonstrate sensitivity to, and respect for, a diverse population.
  • Proven experience as a bookkeeper.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Problem-solving and decision-making abilities.
  • Excellent verbal and written communication skills.
  • High level of confidence and willingness to learn difficult or complex tasks.
  • Strong organizational and multitasking abilities, with a keen eye for detail.
  • Familiarity with basic bookkeeping and record-keeping principles is a plus.
  • Knowledge of the construction industry is a plus.
