Baystate Health HIM Correspondence Specialist in Holyoke, Massachusetts

Summary:

LOCATION: Onsite BMC Springfield MA

SCHEDULE: Tuesday-Saturday 7a-330pm

This position will ensure receipt of all inpatient, ambulatory surgery, emergency department and all other outpatient records; review each patient record for quality of the original; identify items that cannot be scanned; ensure patient identification on each document; and group like documents in the appropriate order in preparation for scanning and/or filing. The EMR Specialist will also scan all records into the Electronic Medical Record on a daily basis. This position will maintain daily workflow, ensuring that records are scanned in a timely and efficient manner to avoid delay in further processing.

Job Responsibilities:

1) Prepares paper documentation for scanning, Preps records in accordance with department policy and assures all standards are met. Reviews all patient care documentation to ensure, patient, accounts, form information is true and accurate, works with nursing areas and ambulatory practices to identify and correct inconsistencies.

2) Scans paper medical into EMR in accordance with department policy. Reviews and enter PHI into the EMR ensure accurate forms per patients record and monitors scanning system for complete and accurate record.

3) Indexing: Reviews and assigns correct patients forms in multiple systems ensure that all documents are correctly filed in support of the EMR.

4) QA, of EMR. Monitors and QA 100% of all EMR documents, works in multiple systems and identifies issues and takes corrective action for non-compliant forms.

5) Document Forwarding, Forward documents to clinical staff in EMR for review in accordance with each ambulatory practice's procedures assuring timely process.

6) Manages electronic documentation in multiple systems. This information needs to handled in an extremely confidential manner and released only to authorized users.

7) Ensures security and confidentiality of all scanned documents and preps for storage in accordance to department policy.

8) Work closely with Lead/Coordinator to ensure all records are complete and accurate and reports any patient safety issue to management for STAT follow up.

9) Performs computer analysis and data entry/updates in BH computer systems.

10) Works with patient care support services to correct and improve processes.    

11) Prepares reports and monitors EMR workflow ensure that all documents meet designated turn around times.

12) Communicates with outside departments on issues that affect the EMR.

13) Seeks help from lead and supervisor as appropriate.

14) May lead project teams or oversee workflow related to a specific project or function.
