Job Description

The System Software Engineering group is seeking an administrative assistant to support the GM and VP of the Linux and Chrome Systems Engineering team and other senior leaders within the organization. We are seeking an experienced professional obsessed with customer service, organization, confidentiality, and great at dealing with challenging scenarios.

In this role responsibilities include, although not limited to:

  • Generates reports and presentations, sets up meetings, manages office space, writes and edits documents and manages online collaboration sites such as Teams and Sharepoint.

  • Prepares communications, such as memos, emails, invoices, reports and other correspondence as needed.

  • Performs various administrative, organizational, financial, operational, and project-related activities in support of an individual or group varying in size.

  • Provides real-time scheduling support by booking appointments and preventing conflicts.

  • Proactively manages calendars, travel arrangements and expense reporting.

  • Provides purchasing support and tracking of spends.

  • Provides support to executives, managers, employees, and office visitors by handling daily office tasks.

  • Organizes meeting schedules, manages, and maintains conference rooms for executives and various office teams.

  • Plans, coordinates, and executes internal events such as off-sites, team building events and organization wide meetings.

  • Screens phone calls and electronic messaging and routes to the appropriate party.

  • Collaborates with other administrative and/or operational staff to exchange data and information that enables budget planning and expense control.

In addition to the qualifications listed below, the ideal candidate will also have:

  • Excellent communication skills to work across a globally diverse set of teams and customers.

  • A self-starter with strong analytical and critical thinking skills to learn and apply.

  • Calendar Management.

  • Strong Computer Literacy with strong experience in Microsoft Office tools (Outlook, Excel, SharePoint, Teams, PowerPoint).

Qualifications

You must possess the below minimum qualifications to be initially considered for this position. Preferred qualifications are in addition to the minimum requirements and are considered a plus factor in identifying top candidates.

Minimum Qualifications:

The candidate must have a High School Diploma, or an equivalent diploma and:

  • 2+ years of administrative experience.

Preferred Qualifications:

  • Travel Scheduling

  • Expense reporting/filling

  • Purchasing and reconciliation systems

  • Financial Acumen - Budgeting

  • Experience working with multicultural teams

  • Data Management

  • Experience working with teams in multiple geographical locations.

Working Model

This role will be eligible for our hybrid work model which allows employees to split their time between working on-site at their assigned Intel site and off-site. In certain circumstances the work model may change to accommodate business needs.
