System One Construction Project Coordinator in Hershey, Pennsylvania

System One is hiring a Construction / Facilities Project Coordinator our client in Hershey. They are a well known learning institution dedicated to making a difference in the life of a child. This is contract to possible hire position!

Project Coordinator overview

  • Perform diverse administrative duties to support the Facilities Management Asset Renewal.

  • Set-up construction project files, maintain files from Pre-Construction through Close-Out.

  • Set-up construction email folders, maintain and respond as needed. Responsible for Asset Renewal email folder.

  • Maintain electronic project documents in MHS V:Drive and ProCore, project management software.

  • Perform contract development through execution process.

  • Perform service requests and work orders for Facilities Management.

  • Preparation of Invitation to Bid for Construction Projects. Work with vendors from confirmation of bidding through creating the bid comparison sheet to provide to Procurement for project award.

  • Generate contracts and purchase orders, input information into Peoplesoft for routing approval.

  • Created a system to establish a new process for generating and maintaining Master Agreements for MHS approved preferred vendors.

  • Assist Project Managers in requested tasks daily.

  • Reconcile project costing by maintaining BAR Report.

  • Close contracts and purchase orders once the project is paid for in full and directed by the Project manager.

  • Schedule and attend meetings and generate/distribute minutes to all project team members.

  • Assist with 11-month walk through meetings, creating and maintaining punch list.

  • Assist with compilation of project closeout information.

  • Responsible for receiving inventory for Purchase Orders.

  • Keep the Project Manager and other team members informed about the administrative status of the project and any issues that may impact the Milton Hershey School.

    Project Coordinator Requirements

  • Efficiently create Word, Excel, and PowerPoint documents as requested.

  • Experience with Construction or Facilities renovations experience.

  • Excellent communication skills
