About the Role:

Provides routine day-to-day operations and administrative support for the Americas Consulting team. Assists in coordination of budgets, contracts, process improvement, project invoicing and other functions enabling the department to meet business objectives.  The ability to interact with all levels of the organization in a fast-paced environment with evolving priorities while remaining proactive, resourceful, and efficient is important to the success of this position.  Expert level written and verbal communication skills, a high-level of professionalism and confidentiality, along with high attention to detail are equally important. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work well within a team.  This person must be exceedingly well organized, adaptable, and enjoy supporting an office of diverse people and programs.

What You'll Do:

  • Supports end to end monthly invoicing, accounts payable and accounts receivable. Prepares commentary and explanation of variances for management review.

  • Processesinvoices for software partners and coordinates with various internal business groups for cost recovery. Researches and resolves routine issues. Follows-up to ensure open issues areresolved. Assists in preparing end user reference materials.

  • Troubleshoots and resolves simple inquiries and requests from internal and external clients.

  • Reviews and monitors department processes and procedures to identify opportunities to improve service delivery to internal and external customers. May network with external contacts to research and recommend best practices.

  • Coordinates project creation and monthly invoice preparation. Researches and collects input from multiple internal and external resources.

  • Compiles a variety of operating, financial and statistical information as needed to respond to management requests. Coordinates work with other departments. May add commentary to complete analysis reportsand proposals.

  • Assists in communication of best practices, policies, procedures and initiatives to support operations.

  • Helps to facilitate process improvement by engaging appropriate resources in issue identification and resolution.

  • Performs other duties as assigned

What You’ll Need:

  • Associates or bachelor’s degree in Accounting, Administration, or associated field and/or 4+ years of experience in administration and accounting.

  • Customer service experience preferred.

  • Oral and written English required. Ability to effectively present information and respond to questions in English both written and oral.

  • Requires knowledge of financial terms and principles, experience with project invoicing and or account payable is preferred. Ability to calculate intermediate figuressuch as percentages, discounts, and/or commissions. Conducts basic financial analysis.
