The Executive Administrative Assistant Purpose will be to:

To provide high level administrative support for executives.  Make travel arrangements, coordinate meetings, manage calendar events, develop, and organize meeting materials, presentations, and reports.

A s uccessful Executive Administrative Assistant w ill p rovide the f ollowing k ey a ccountabilities:

Workflow

Organize and prioritize flow of work and initiate follow-up actions.  Read correspondence and determine action required.

Administrative Support

Manage calendar for high level executives.  Arrange domestic and international travel itineraries. Reconcile expense reports.  Coordinate meetings and conferences.   Assist in preparations and provide administrative support for senior management meetings.

Communication

Communicate professionally, developing good rapport with internal and external individuals from around the world.  Handle business interactions with respect and appreciation for different cultures. Manage confidential information.

Office Management

 Greet internal and external customers in person or by phone as a liaison to the Executive.

Other

Provide assistance or assume direct responsibility for projects and/or tasks as assigned. Assigned projects may include preparation of budgets or forecasts, detailed presentations prepared using Excel, PowerPoint or other applications, research and presentation of findings, and other tasks required to best support the efficiency of the Company.

The Administrative Assistant IV Must Meet the Following Minimum Qualifications:

  • AAS Degree Preferred

  • 5-7 years' experience, Minimum

  • Previous administrative support, clerical, and customer service experience preferred.

Other Desired Skills and Attributes:

  • Must demonstrate excellent communication and customer service skills.

  • Strong verbal and written communication skills.

  • Ability to interact professionally with a wide variety of audiences.

  • Highly effective time management and organizational skills.

  • Office Management and budgetingexperience.

  • Microsoft Office products (Excel, Word, PowerPoint required, Access and Visio desired)

Additional Information:

This position must be able to prioritize multiple tasks in an efficient manner.  Integrity, positive attitude, dependability, and team orientation are required for this position.  Must present a professional and helpful image to all employees and guests.  The ability to maintain confidentiality is essential.  Position has direct communications with Executive and Upper Management level employees daily.
