JOB REQUIREMENTS: JOB ID: 21031 UW SYSTEM OFFICIAL TITLE: Administrative Assistant III POSTING DATE: June 25, 2024 ESSENTIAL JOB FUNCTIONS: Under the general direction of the Assistant to the Dean, the Associate Dean of the Cofrin School of Business/Director of the of the Impact MBA program and the Chair(s) of Accounting and Finance/Business Administration, this position will provide administrative and program support for the Impact MBA program, and to faculty and staff within the Department of Accounting & Finance, the Department of Business Administration, and the Cofrin School of Business. This position includes the following responsibilities: Provide administrative and program support to faculty and staff including; technical support for meetings, management of department email, updates to department websites and distribution lists, coordination of dept. calendars and schedules, maintenance of TEAMS files and shared drives, recruitment assistance, faculty and staff onboarding, etc. Support instructors course requirements including classroom needs, course material procurement, cancellation of classes, course evaluations, etc. Assist with event planning and budgeting for Department-related campus and community events. Coordinate personnel reviews and the collection of syllabi from department instructors. Upload syllabi to the UW-Green Bay Syllabi Repository as directed by the Provost Office. Coordinate MBA budget, MBA related events, lunches, refreshments, meeting locations, guest speakers and conference fees, order and delivery of course materials to students (e.g. books), and general support of the activities of the MBA program director and Graduate & Executive Education Program Coordinator with program-related activities. Monitor and maintain Excel spreadsheets for departmental and grant expenditures. Record and verify department expenditures and reconcile with WISER on a regular basis. Assist Chairs with coordination and management of Supply and Expense (S&E) funds. Make suggestions to Chairs for cost-efficient approaches to situations as needed. Make projections for year-end expenditures. Serve on CSB committee(s) as appointed and provide administrative support to committees as assigned through the annual selection process. Assist department and CSB leadership with accreditation and quality assurance activities. Serve as \"Champion\" for specific CSB-level responsibilities (i.e. Sedona; Faculty Handbook; Accreditation; ShopUW+, etc.). In collaboration with other CSB admin support staff, provide office management assistance as needed. Maintain and order office supplies and equipment, troubleshoot equipment failures, order toner and paper for managed printers and copiers, request maintenance when needed. SPECIAL NOTES: Position is a full-time University Staff appointment. The work hours for this position will be 7:45 a.m. to 4:30 p.m., Monday through Friday. This position may have the option to work on-campus or a hybrid schedule subject to approved telecommuting request. A 75% to 25 % ratio (in-person: remote work) will be required.
