Description

HR/Payroll:

  • Process new hires and maintain employee records, including training documentation.

  • Administer weekly payroll, including deductions such as child support and garnishments.

  • Prepare and file quarterly and year-end tax reports (e.g., 940, 941, W-2’s, 1099’s, 1095’s).

  • Manage Work Comp claims and health benefits administration.

  • Handle retirement plan administration.

  • Generate OSHA reports.

GL and Financial Monitoring:

  • Perform journal entries as needed and review Income Statements and Balance Sheets.

  • Monitor financials and assist in outside CPA reviews and yearly audits.

  • Manage fixed assets list and oversee Workers Comp yearly Insurance Audit.

Accounts Payable:

  • Execute full-cycle accounts payable processes, including issuing purchase orders, matching, coding GL, and processing payments.

  • Handle vendor credit applications and maintain vendor records.

Job Cost and Bank Reconciliation:

  • Code GL and job/phase coding related to billings, accounts payable, and payroll for Job Reports.

  • Reconcile bank accounts and process credit card payments and ACH payments.

Accounts Receivable and Contract Administration:

  • Invoice service department work orders and manage collection calls.

  • Invoice contract jobs with AIA standards and manage lien waivers.

  • Execute contracts, change orders, and progress billings through AIA standards (G702/G703).

  • Close out documents and warranties and maintain WIP reports.

Additional Responsibilities:

  • Create and file monthly state sales tax reports.

  • Oversee business license applications, renewals, and contractor’s licenses in other states.

  • Manage vehicle management and general administrative duties.

  • Familiarity with software including Sage 50 Quantum Accounting, Microsoft Office, Adobe Acrobat, and AIA programs.

  • IT and Accounting System maintenance/Updates is a plus.

  • Notary certification and 10-key by touch skills are desirable.

  • Attention to detail, accuracy, and quality in maintaining auditable records.

  • Initiative as a self-starter and ability to prioritize work to balance multiple projects and deadlines

    Requirements - Proven analytical skills with ability to implement solutions and vendor management experience with good organizational skills

  • Commitment and abilities to meet critical business deadlines

  • Strong communication and social skills and able to receive criticism well

  • Observant, accurate and able to thrive in a fast-paced environment

  • Excellent organizational and multitasking skills

  • Self-starter, ability to identify issues and resolve problems

  • Year end closings experience

  • Well-founded grasp of Construction Accounting

  • Auditing experience preferred

  • AIA Billing experience desired

  • Proven knowledge of General Journal

  • Practical knowledge of Form 1099

  • Command of Job Cost

  • Journal entries experience

  • General familiarity with bank reconciliations

    • Progressive accounting experience, including as a Bookkeeper preferred
  • Experience working in a dynamic and changing company environment a plus

  • Excellent analytical, quantitative and social skills
