Glendive Medical Center HIM Assistant in Glendive, Montana

The Health Information Management Assistant is responsible for facilitation of chart completion by working with ancillary departments and providers, responding to requests for information, and customer service-related requests to assist in the ongoing, continuity of flow of patient health information.

    Duties/Responsibilities:

  • Greets visitors, ascertains purpose of visit, and directs them to appropriate staff as necessary.

  • Answers incoming telephone calls in a prompt and professional manner, as well as route calls as necessary, demonstrating excellent communication skills, telephone etiquette, and a helpful attitude.

  • Takes accurate, complete, and legible message, as applicable.

  • Operates office equipment such as voicemail messaging systems, and uses word processing, spreadsheet, and other software to prepare, process, and/or maintain reports, invoices, letters, medical records, and release of information (ROI) requests.

  • Determines valid ROI requests.

  • Transmits correspondence and medical records by mail, email, or fax.

  • Obtains, delivers, opens, sorts, and distributes mail as appropriate.

  • Maintains confidentiality of all forms of patient protected health information (PHI) - oral, written, or electronic.

  • Pulls records for intra/interdepartmental needs (e.g., medical staff, peer reviews, CRNA reviews, ER Utilization Management reviews, etc.).

  • Files/scans documents for Extended Care, inpatient, outpatient, and Hospice charts timely and accurately, ensuring right patient, right date, right encounter. It is important this be completed daily (time may vary depending on volume), to be completed within 48 hours of receiving documents. Prior to scanning, verifying the document has not been placed in the chart by another department, thus reducing duplication, and checking for quality of document scanned, with a 99% accuracy rate.

  • Performs related clerical tasks such as photocopying, filing, delivering, and retrieving departmental specific orders or documentation for scanning, and other duties as assigned.

  • Examines orders and documentation for required signatures, diagnoses, times, and/or any other information required depending on document in question, prior to scanning into the medical record.

  • Oversees distribution of CC requests, both for provider and transition of care (TOC) requirements, utilizing both the daily report from IS as well as the proxy mailbox in Message Center.

  • Assists patients in creating their Patient Portal account, as well as creating proxy access for minor accounts as appropriate.

  • Assists in the management of refused/unsigned orders.

  • Will report appropriate malignancies to the National Cancer Registry monthly.

  • Distributes monthly Tissue Reports for Medical Staff review, as well as Death Reports to the state.

  • Completes Birth Certificates for all new babies born at GMC and registers them on the state website.

  • Performs various clerical and administrative functions such as ordering and maintaining an inventory of supplies.

    Required Skills/Abilities:

  • Experience with word processing and computer databases required.

  • Strong interpersonal and public relations skills.

  • Ability to multitask and work independently.

    Education and Experience:

  • High school diploma or GED required.

  • One year of office experience required; two years preferred.

    Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.

  • Must be able to lift up to 15 pounds at times.
