Minimum Qualifications:

High school diploma or equivalent. Two years office-related experience.

Job Summary:

To provide clerical, secretarial, and office administrative support to a process or area ensuring operational administrative process continuity.

Job Duties:

General OLLI Support:

  • ProClass software maintenance, management, and additions as needed

  • Maintain an instructor contact distribution list

  • Coordinate and produce catalog for each term in conjunction with all OLLI Management

  • Create and publish OLLI announcements, newsletters, special flyers, and email blasts

  • Support Zoom logistics, including coordination of calendars, links, training, and classroom setup

  • Create and maintain course evaluations

  • Supervise and coordinate students, interns, and volunteers

  • Maintain a master calendar for each session (fall, spring, and summer)

  • Identify and collect OLLI instructor honorarium contracts and vendor forms.

  • Assist OLLI Management with maintaining lists/information for release forms and other documentation

  • Answer, respond, and assist OLLI member calls/emails on registration questions

  • Respond to questions on OLLI member benefits, name tags and site directions

  • Manage registration and membership data and process payments from members.

  • Assist with scheduling courses and promoting events through OLLI website and social media.

  • Assist with onsite set-up for classrooms and OLLI activities and events, including rearranging classroom tables and chairs (must be physically able to move light weight tables and folding chairs)

  • Coordinate certain OLLI special events under direction of OLLI staff which may sometimes entail working evenings or weekends

  • Represent OLLI at public functions, sometimes with OLLI display board and handouts

  • MS Office fluency – particularly mail merge, Outlook, Excel, and PowerPoint

  • Positive customer service attitude

  • Pay attention to detail

  • Computer familiarity and interest in growing skills

  • Ability to walk quickly, carry, lift, push, or pull a minimum of 25lbs

  • Reliable team player

  • Good communication skills

  • Eagerness to learn, grow, and intrinsically motivated

  • Support Management with administrative tasks as needed

Preferred Education:

Bachelor's degree

Work Schedule:

Work schedule for this position will be Wed (4 hours), Thursday and Friday (7.5 hours each day)

Salary Range:

Actual salary commensurate with experience.
