Shipping/Exports Attendant

Job Summary:

The Shipping Associate will be responsible for prompt and accurate package preparation, marking, labeling & processing of all outgoing packages. The position requires effective knowledge of all established procedures (SOPs), national & international shipping policies, and use of tools and equipment that are required for material movement and shipment preparations. The Shipping Associate is responsible for careful and accurate transcribing of information between systems and must be very detail oriented. Excellent customer service, communication skills, and maintaining positive customer relationships are essential to the position.

Job Qualifications

  • Working knowledge of Domestic and International shipping of Dangerous & Non-Dangerous Goods including country specific guidelines is a must.

  • Must have intermediate-level computer skills including working knowledge of Microsoft Office.

  • Excellent communication and interpersonal skills.

  • Significant attention to detail is a key skill.

  • Speaks clearly and concisely in a professional manner.

  • Ability to read and follow the Standard Operating Procedures.

  • Ability to perform Shipping and Receiving functions as defined in the Standard Operating Procedures when preparing and processing Dangerous and Non-Dangerous goods.

  • Working knowledge of shipping software used by FedEx.

  • 49 CFR, IATA dangerous goods, and OneSource knowledge is a plus.

  • The Shipping Associate must be able to move a package weighing up to 55 lbs.

  • Knowledge about dry Ice packaging.

Job Responsibilities

Support all shipment activities for assigned Research and Development departments.

  • Daily shipping activities, including requirement to properly package, mark, label & process Non-Hazardous and Hazardous items as per company SOPs.

  • Evaluate shipping routes, determine shipping options and recommend best method to clients.

  • Create documentation including but not limited to invoices, packing lists, USDA statements and FDA end use letters.

  • Ensure all emails to the Shipping Gaithersburg mailbox are answered and resolved in a timely manner.

  • Coordinate and process customized packaging and other special customer requests.

  • Coordinate domestic and international shipments via local carriers, freight forwarders and courier services, provide documentation and monitor & report on progress.

  • Escalate import/export related questions and issues to the appropriate departments. Escalate potential problems or customer issues.

  • Communicate effectively with assigned teams, scientists and with all other interfacing functions and relevant groups as required.

  • Track courier and accountable items (FedEx).

  • Maintain highest level of customer care demonstrating a friendly and cooperative attitude.

  • Follow established customer inquiry process, respond to customer needs, and requests in a timely and courteous manner.

  • Effective, timely and professional communication to all relevant internal & external stakeholders.
