Executive/Personal Assistant to CEO, Full Circle Real Estate Partners

This role will provide personal and administrative support and assistance to the CEO of Full Circle Real Estate Partners, a company affiliated with Edgewood Management Corporation. Note that the scope of work will include professional, personal, and family assistance.

 

Main Job Tasks and Responsibilities

  • Manage and maintain CEO's schedules, appointments and travel arrangements. This includes scheduling meetings and managing work and personal calendars and appointments.

  • Prepare, draft, and edit correspondence, communications, letters, e-mails, presentations and other documents using e-mail, word processing, spreadsheet, database, or other software.

  • File and retrieve documents and reference materials.

  • Answer phone calls and emails, take messages, and respond as appropriate.

  • Plan travel, including flights, accommodation and ground transportation.

  • Conduct research, assemble and analyze data to prepare reports and documents.

  • Monitor, respond to and distribute incoming communications.

  • Receive and interact with incoming visitors as appropriate.

  • Interact with external clients, associates, business partners, family members, etc.

  • Take accurate and comprehensive notes at meetings.

  • Help with daily time management.

  • Run errands as requested, including for personal matters.

  • Coordinate project-based work as needed.

  • Perform general office-type duties such as ordering supplies, maintaining records, and performing basic bookkeeping work.

  • Obtain, file, maintain, secure, and retrieve personal, financial, and corporate documents, records, and reports.

  • Handle payments for services on behalf of the company, the CEO, or their family.

  • Open, sort, and distribute incoming correspondence, including faxes and email.

  • Arrange for staff, consultants, or vendors as necessary, including evaluating and selecting providers.

  • Arrange, plan, coordinate, and administer events, meetings, dinners, etc. Inspect event facilities to ensure that they conform to requirements. As needed, coordinate services for events, such as accommodation and transportation for participants, facilities, menus and catering, signage, displays, A/V, special needs requirements, printing, invitations, RSVPs, etc.

  • Review event bills for accuracy, and approve/facilitate payment.

  • Plan and develop programs, agendas, budgets, and services.

  • Other duties, responsibilities, tasks, and projects as assigned.

     

Education and Experience

  • 3+ years experience providing support at the executive level. Prior experience as a personal assistant for an executive level individual is highly desired.

  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite (Office, Teams, Word, Excel, PowerPoint)

  • Knowledge of standard office administrative practices and procedures

  • Bachelor’s degree a plus, but not required

  • Technical knowledge and experience necessary to perform the tasks and responsibilities above.

  • Strong organizational skills and ability to plan, prioritize, and organize workload in order to meet deadlines. Must be able to multitask and remain organized in a fast-paced environment. Must not only be organized, but able to keep others organized.

  • Superb English verbal and written communication skills.

  • Must be a proactive self-starter and show initiative and be able to gather and monitor information and data and anticipate others’ needs based on the circumstances.

  • Must display outstanding judgment and decision-making ability, and drive to results with a high attention to detail and accuracy.

  • Must have a desire to take on new responsibilities in areas with little to no prior experience.

  • Able to be counted on to respect and protect confidentiality and appropriately handle sensitive information and situations.

  • Establish and maintain positive and effective working relationships with others. 

  • Uses courteous and professional etiquette when answering the telephone and in interpersonal interactions.

     

Other Position Information

  • This is a hybrid role, working primarily (3-4 days/week) on-site at an office location in Gaithersburg, MD and other locations as appropriate with some occasional opportunity to work remotely.

  • Must have access to reliable personal transportation for local travel and related errands.

  • Must be able to successfully pass a criminal background check, DMV requirements, and a pre-employment drug screening.

  • Must be able to demonstrate eligibility to work in the US
