Job Description:

Responsible for maintaining office operations and communications. Coordinating fiscal, travel, affiliation agreements, and event planning within the College of Pharmacy’s Office of Experiential Programs (OEP) under the supervision of the Assistant Director of Experiential Programs.

Supports each of the office coordinators year-round as well as during heavy workload periods on a rotation basis preparing correspondence, scheduling, monitoring, and executing program activities.

This position requires the ability to successfully multi-task numerous operations and events, simultaneously, with minimal supervision and maximum accuracy.

AFFILIATION AGREEMENTS:Independently provides oversight and manages the affiliation agreement process which is required for PharmD students to be placed on clinical rotations. Initiates and processes affiliation agreements for institutions participating in our experiential education programs by preparing and monitoring both new and renewal affiliation agreements. Works collaboratively with UF Health Legal Services and UF Office of General Counsel to finalize agreement details.

FISCAL:Manages fiscal items for OEP in conjunction with the Shared Service Center (SSC) Fiscal office. Responsible for vendor and site payments, events and catering, and travel reimbursement for OEP faculty and staff. Implements the payment and communication workflow lifecycles from application, documentation, invoice/payment processing, to verification of receipt. Supports leadership with tracking fiscal transactions to ensure payments are complete and within budget.

COMMUNICATION:Actively leads communication with internal and external stake holders regarding accreditation, compliance, fiscal, and legal matters using multiple modes of communication to maintain and promote our partnerships. Implements communication policies and procedures based on specific program functions.

COMPLIANCE, SCHEDULING AND PRECEPTOR SUPPORT:Support the Scheduling and Preceptor Support Coordinator by managing out of state application blocks and sites; coordinating faculty research rotations, assisting with the onboard of new preceptors which includes the interest processing, hiring, and onboarding process. Entry and updating the CORE database; assist RCs and preceptors per their requests; assist with projects rectifying preceptor and site profiles in CORE Communicate with students regarding annual requirements and site requirements as needed in onboarding for select sites/rotations. (Compliance - March through August – 6 months) (Scheduling and Preceptor Support September through December – 3 months).

OFFICE OPERATIONS and OTHER DUTIESrelating to OEP as assigned. Maintains and orders office supplies, special requests for equipment, and subscriptions/memberships as required for compliance with the American Association of Colleges of Pharmacy (AACP) accreditation standards. Assists with on-site event planning, coordination, and implementation for Regional Coordinator meetings, Office Travel, Advisory Board meetings and any other event within the college of pharmacy.

Minimum Requirements:

Bachelor’s degree and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

Must understand and practice excellent customer service.

Must possess a professional attitude which is conveyed in all interactions, communications and appearance.

Excellent verbal and written communication skills, ability to organize, manage, and multitask in a fast-paced environment.

Must be able to work independently with demonstrated problem solving skills and attention to details.

Previous experience interacting and engaging with students is preferred.
