Job Description:

This position supports the Unit Leader, Assistant Unit Leaders, cooperating faculty, staff, and students in operation of all aspects of the Florida Cooperative Fish & Wildlife Research Unit (Unit) within the Department of Wildlife Ecology & Conservation (WEC). The primary duties and responsibilities consist of responsible independent work in pre- and post-award support for faculty within the Unit and cooperating faculty within WEC as well as cross college proposals and awards. The incumbent must develop an understanding of the Cooperative Agreement that governs the Unit and exercise independent judgment in interpreting relevant Federal, State, and University policies and procedures to ensure smooth operation, a cooperative working environment, responsible management, and growth in Unit programs.

Under the direction of the department chair and Cooperative Research Unit program leader, and in

coordination with the department administrative services manager, this position coordinates and provides advanced administrative support to the Unit Leader of the Florida Cooperative Fish and Wildlife Research Unit (Coop Unit). This position acts as central liaison between USGS and the University of Florida, keeps the department and the University of Florida apprised of applicable federal and state requirements, and acts as an intermediary between the two entities to ensure smooth day-to-day operations.

Associated duties will include management of annual federal operating budget and Working Capital Fund, monthly reconciliations of unit budgets and sponsored awards per OMB circular and sponsor guidelines, coordination of federal volunteers and volunteer training, federal inventory tracking including federal vehicles, retention of annual publications, presentations, personnel, research projects, students, alumni etc. for compilation of the annual Coordinating Committee Meeting, and maintaining manual of policies and procedures for the Unit.

A portion of this position involves pre- and post-award management of sponsored projects. Incumbent will maintain administrative oversight of all RWO (research work orders), Unit financial records, RWO technical reports, agency reports, and will maintain Unit records via Department of Interior website. Pre-award activities will require participation in the development of RWO proposals and budgets for Unit Faculty, WEC and other campus faculty. Incumbent will act as the RWO pre-award liaison with the IFAS Research Administrative Offices, which will include interpreting sponsor guidelines, providing appropriate guidance to faculty on proposal development related to personnel costs, fringe benefits, tuition, IDC rates and the like, and facilitating proposal submissions. This will require (or develop of) a strong familiarity with UF systems such as UFIRST, IACUC, ARC letters, cost sharing, sponsor guidelines, deadlines, and cost accounting standards.

Incumbent will be expected to remain up to date on relevant training and continuing education.

Expected Salary:

$69,000.00; commensurate with education and training.

Minimum Requirements:

Bachelor’s degree and three years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

  • Recent experience with UF systems such as Peoplesoft, UFIRST, myInvestigator (myIG), and overall grants management experience.

  • Previous experience with federal agencies and contracts.

  • Excellent oral and written communication skills.

  • Outstanding time management skills to manage a wide variety of tasks that compose the average workday.

  • Ability to work well with a wide variety of people.

  • Ability to work independently and in a group setting.
