Family owned auto repair and towing business looking for a full-time front office Customer Service Coordinator/Service Writer. This position is the first point of contact with our customers, the ideal candidate must possess excellent people and communication skills and a strong desire to learn and grow with our business. The Required hours are M-F/8-5 with a lunch break from 12-1. Some of the responsibilities and requirements for this position include but are not limited to the following:

  • Greeting customers, Vendors and Suppliers
  • Excellent customer service and communication skills
  • Attention to detail
  • Good organizational and time management skills, must be able to work independently
  • Previous automotive experience preferred however we are willing to train the right candidate
  • A valid driver's license
  • Reliable transportation, no public transportation available to this location
  • Must be able to pass background and drug test upon request
  • Excellent data entry and record keeping skills
  • Develop repair estimates based upon technicians diagnosis and communicate findings with the customer and get approval to proceed with repairs
  • Generate invoices and process payments
  • Process weekly payroll
  • Follow up with customers to make sure service expectations were met
  • Manage marketing and social media networking
  • Assist in maintaining inventory and ordering necessary parts
  • Monitor progress of repairs and keep technicians working
  • Process requests for towing and dispatch drivers accordingly
  • Answer all calls in a timely and professional manner, check answering machine each morning and return calls in a timely and professional manner
  • Each morning obtain and log owner and vehicle information for vehicles dropped off. Generate a work order for service to be completed, you may have to contact customer if they did not have a scheduled appointment or leave information as to what needs to be done. Also ensure all the information in data base is current, complete and correct.
  • Generate daily work orders for service and repairs to be completed
  • Complete work order data entry and billing paying special attention to ensure all parts and labor are included, verify technicians added all parts and labor to WO
  • Call customers for payment on outstanding invoices for shop and towing services
  • Maintain state inspection logs on a daily basis, accuracy is crucial
  • Call customers to get approval for work to be performed
  • Take tow calls and get all necessary information for the tow then dispatch tow truck
  • Create and update social media and marketing platforms
  • Maintain appearance and cleanliness of front office and front bathroom areas as needed
  • Maintain work flow for technicians and ordering/returning parts as necessary
  • Call customers due for inspection in the next 3 months and set up appointments
