Wealth Management Administrative Assistant, Full-time - (Fremont, OH)

Summary:

This position assists department staff by being responsible for many areas of client service. Responsibilities include, but are not limited to, coordination and scheduling of appointments, appointment verification, special event marketing, preparing materials for and scheduling client reviews, and overall client service management to help meet client expectations.

Essential Job Duties –

  • Completes new account set up process.

  • Prepares materials for client meetings.

  • Provides support for Trust Operations and clerical functions on a day-to-day basis as needed.

  • Follows all established audit and compliance procedures for bank, trust and brokerage areas.

  • Notifies licensed reps of alerts, client communications and changes in policies, procedures, and forms.

  • Reviews all paperwork for completeness before sending it on to LPL or the individual carriers.

  • Performs scanning and uploading of documents for digital storage

  • Complies with and maintains working knowledge of applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Completes assigned compliance training essential to job function.

  • Maintains referral and tracking reports for management.

  • Assists with front desk responsibilities

  • Keeps all compliance files up to date.

Requirement:

  • Bachelors degree preferred

  • Series 667, 66, and/or 7 licensing preferred

  • 1-3 years of prior Administrative Assistant experience in a financial setting preferred

  • Highly self-motivated

  • Possesses very good communication skills, organizational skills, and time management skills

  • Computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook)
