POSITION: Events Coordinator

DEPARTMENT: Events

REPORTS TO: Director of Events, and Sales

FLSA STATUS: Salaried Exempt

Summary

The Event Coordinator is responsible for ensuring that the operational needs of clients are met by mobilizing the necessary resources to properly set up, operate and close out events to the clients satisfaction. This role serves as the primary building contact for client and works with all internal departments to ensure the proper execution of events. This person must be present during the execution of the event. This position requires flexible hours.

Essential Duties and Responsibilities

· Plan, coordinate and execute details of events according to the needs of our clients in a timely manner. Maintain constant communication with the with all departments and with client before and during their event.

· Coordinate communications between building departments and event staff during load in, and load out of event.

· Maintain and keep the client informed of all expected expenses during the event as well as reporting the final settlement to the client

· Lead event portion of weekly staff meetings to ensure all departments are informed of the overall working of the event, and that all departments have the necessary information to execute the event properly.

· Develop positive relationships with our clients and staff.

· Work with the Director of Events and Sales in the creation of an individualized safety and security plan customized to each event, and respond to crowd control and/or crowd management situations in a prompt and decisive manner.

· have a detailed understanding of the facilities emergency policies and procedures and the ability to execute them as needed.,

· During events, supervise part-time employees and third-party labor and work with all departments to oversee all aspects of the facility operations related to events.

· Acts as Manager on Duty during assigned events.

Knowledge, Skills and Qualifications

· Two years’ experience in the operation and execution of conventions, trade shows, banquets, concerts, and other venue entertainment preferred.

· Bachelors/Associate degree preferred.

· Must be able to effectively manage many conflicting priorities at one time.

· Excellent communication skills.

· Must be able to work under limited supervision.

· Ability to work in a team environment and interact with all department levels and staff.

· Excellent organizational skills.

· Excellent problem solving and decision-making skills.

· Professional presentation, appearance, and work ethic.

· Computer knowledge include Microsoft Office, Windows, and AutoCAD preferred.
