Duties:

  • Work directly with CEO on a day-to-day basis

  • Manages executives’ schedule and acts as liaison for CEO with primary clients and bankers/investors

  • Prepares information, research and reporting

  • Keep the CEO office organized and office supplies in stock

  • Plans/organizes and implements events such as meetings, business luncheons, or client dinners

  • Arranges travel, accommodation, itineraries, manages office supplies, monitor press activity

  • Prepares reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings

  • Maintains clerical duties, taking memos, photocopying, organizing digital documents

  • Plan employee team building activities. ?

  • Performs various administrative functions in support of the CEO to assist in the achievement of effective and efficient operations.

  • Performs daily trip/hours KPI for all stations including reporting out and follow-up with leaders who are over their trip/hours KPI goal.

  • Manage all station office supply orders to ensure spending is within budget.

  • Assists in the completion, collection, and assembly of information for special projects and programs, as assigned.

  • Assists and conducts research, gathering statistical information to provide a written response.

  • Schedules and organizes all corporate sponsored functions, community outreach, and assists station leaders with planning and funding employee recognition events.

  • Trains others in use of software, equipment, and other office systems.

Qualifications:

  • Position requires an associate degree with a minimum of five to seven years executive secretarial experience or a bachelor’s degree with a minimum of three years executive secretarial experience, preferably in a multi-location, fast-paced environment.

  • Must be highly proficient in MS Office products and mobile technology

  • Must be highly proficient in oral and written communications, able to work independently, handle multiple tasks, be very organized, and be a self- starter.

  • Must have considerable knowledge of office practices and procedures.

  • The ability to handle sensitive issues in confidence is essential.

  • Must possess a positive attitude, be customer service focused, and be able to work well with others in a team environment.

  • Must have schedule flexibility and ability to be on call outside of work hours
