Town of Falmouth Administrative Assistant - Library in Falmouth, Massachusetts

The Town of Falmouth seeks a highly motivated administrative professional to be our full-time Administrative Assistant to the Falmouth Public Library. The successful candidate has strong administrative & clerical experience in a professional office setting & meticulous attention to detail. This is a full-time, benefited position that works on-site at the Main Library, Monday through Friday, for 37.5 hours per week, from 9 a.m. to 5:30 p.m. The Administrative Assistant to the Library reports to the Library Director & is a key member of our Library team. This position works closely with the Library Director, Assistant Library Director, & Library staff & has regular contact with the Board of Library Trustees, Friends of the Library, other Town departments, vendors, & the public. This position is responsible for the administrative, clerical, & accounting support for the Main Library & the North & East Falmouth Branches, & this position also provides administrative support to the Board of Library Trustees. Duties include but are not limited to preparing the Library?s biweekly payroll submission, preparing correspondence & personnel-related paperwork; purchasing Library supplies & equipment; processing invoices, monitoring the expenditures of Town, regional, gift, state aid, & grant funds, & balancing these Library budgets with the Town Accountant?s Office; maintaining supply & equipment inventories; scheduling public meeting room use by outside groups & facilitating applicable setup & technology support; serving as the central contact person for all complaints & maintenance-related concerns for all Library buildings; performing general office duties such as opening & sorting mail, copying, preparing correspondence, scheduling meetings, & maintaining the hard copy & electronic filing systems & records; compiling & composing routine to complex reports; & working on special projects. Minimum Qualifications: Bachelor\'s degree with coursework in bookkeeping, accounting, or business administration & a minimum of four (4) years of progressively responsible work in office administration; or any equivalent combination of education, training, or experience which demonstrates possession of the required knowledge, skills, & abilities necessary to perform the essential functions of the position. Applicants must have strong administrative, mathematical, & interpersonal skills & impeccable attention to detail. In addition, the successful candidate has a high degree of professionalism, is tech savvy, & takes initiative but knows when to ask questions. Applicants must have the ability to work independently, prioritize tasks, & exercise sound judgment. Expected Starting Range: Step 1 (\$27.96/hour) - Step 3 (\$30.24/hour), commensurate with qualifications & experience, with room to grow along the 7-step pay scale. Comprehensive benefits package, including 13 paid holidays per year; vacation/sick/personal paid time off; Town contribution of up to 75% of the cost of health insurance; cost-effective dental, vision, life insurance, & disability policy plans; enrollment in the Town?s defined benefit pension plan; & voluntary pre-tax & Roth 457(b) plans.
