    Job Description:

    PURPOSE OF POSITION: The position of the Purchasing Assistant/Accounting Float serves the other staff members of the organization by performing accounting duties in the areas of Purchasing, Accounts Payable, Accounts Receivable and other areas as assigned and needed.

    EXAMPLES OF DUTIES: 1. Use NetSuite to create and maintain item files, vendor files and manufacturer files and to create Purchase Orders. 2. Use NetSuite to process receiving records from packing slips. 3. Maintain tracking logs for payment receipts. Maintain cash receipts journal and distribute daily. 4. Balance checks for bank deposit and prepare deposit slips. Verify and Balance change fund for clinics and business office. 5. Assist with the purchasing process as requested by Purchasing Manager. 6. Research and resolve by contacting vendors by phone order problems such as backorders, estimated delivery dates, possible substitutions, and returns. Communicate results to OMG customers. 7. Communicate verbally and in written form with vendors and OMG customers. 8. Prepare batches for Billing Department to post to A/R System (Epic). 9. Perform back-up duties for the “WellsOne” credit card (P-card) administrator. 10. Assist with opening mail and sorting invoices. Match invoices with purchase orders and packing slips. 11. Assist in other areas of Accounts Payable as requested. Clerical duties as requested. 12. Maintain strictest confidentiality. 13. Perform other duties as assigned.

    Experience and Skills:

    PERFORMANCE REQUIREMENTS: Must be skilled in computer and calculator operations, including general spreadsheets-Excel, Microsoft Outlook, Word, etc. General knowledge of accounting functions in accounts payable, cash deposits, and purchasing. Ability to examine documents for accuracy and completeness. Ability to prepare records in accordance with detailed instructions. Ability to work effectively with co-workers as a team member and independently. Ability to communicate clearly in a professional manner in person and using all available methods of standard office communication (e-mail, phone, fax, etc.)

    EDUCATION: Equivalent of a high school diploma.

    EXPERIENCE: One to two years of experience in purchasing or healthcare. General ledger and other related accounting experience preferred.

    TYPICAL PHYSICAL DEMANDS: Requires prolonged sitting, frequent standing, bending, stooping, and occasional lifting of up to 50 pounds. Requires eye-hand coordination and manual dexterity sufficient to operate a personal computer, telephone, photocopier, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Requires the ability to work under stressful conditions and to work irregular hours. Requires exceptional accuracy, problem solving skills, flexibility and initiative. Also requires outstanding organizational skills and attention to detail.

    TYPICAL WORKING CONDITIONS: Normal office environment.
