UPMC Administrative Assistant - Associate in Erie, Pennsylvania

The Administrative Assistant Associate will support case managers and supervisory staff with the following: scheduling, supply tracking and ordering, data collection, compilation, and outcome reporting, maintaining a resource library, maintaining educational curriculum organization, and other administrative tasks as assigned.

Case Management in Erie’s Public Schools serves all of the city schools to provide comprehensive case management to an assigned caseload of individuals, using a system of recovery that is strengths based and person-centered.

Case management is provided for truancy/chronic absenteeism and/or any other non-academic needs that students may face as barriers to their attendance or school performance. Service may be extended to all household family members as well. This team collaborates with school administration, Community School Directors, local District Magistrates, OCY, community agencies and other service providers.

The ideal candidate will have prior administrative experience. Must be proficient with computers and Microsoft office platforms. Must have strong attention to detail, organized, flexible, and possess strong time management skills. Strong communication skills and ability to work independently as well as within a team setting is essential.

The schedule for this position is Monday through Friday, daylight 8a-430p. The dress code is business casual, and parking is provided on site at no cost.

Responsibilities:

  • Under direct supervision, provides general administrative support to a department or group of professionals.

  • Orders office supplies and maintains office equipment.

  • Helps supervisor and department prepare presentations (i.e., edits, prints, basic formatting functions).

  • Sorts, distributes, prioritizes and composes routine correspondence following established procedures not requiring management review. (i.e., reads correspondence/ highlights important items and sends to supervisor, sends emails sent on behalf of dept head, writes and sends meeting reminders, forwards emails to appropriate distribution list on behalf of department head).

  • Performs routine clerical functions, such as copying, sorting, filing, and typing. Sets up and maintains varied office files, logs, and records office activities.

  • Assists in researching, drafting, and/or abstracting routine reports. Compiles and analyzes basic information.

  • Answers, screens, and routes incoming calls and messages. Responds to routine questions.

  • Maintains supervisor's calendar (i.e., schedules meetings and recurring events, schedules large conference rooms, orders food, ensures applicable equipment is available and ready for meeting, may take meeting minutes).

  • Greets, screens, and directs visitors to appropriate staff member.

  • High School diploma or equivalent.

  • Up to one-year administrative experience preferred .

  • Working knowledge of word processing, electronic mail/calendar, spreadsheet, presentation, and database software

  • Ability to use applicable MS Suite products. Licensure, Certifications, and Clearances:

  • Applied Suicide Intervention Skills Training

  • Basic Life Support (BLS) OR Cardiopulmonary Resuscitation (CPR)

  • Cardiopulmonary Resuscitation (CPR)

  • Comprehensive Crisis Management (CCMC)

  • Driver's License

  • Act 31 Child Abuse Reporting with renewal

  • Act 33 with renewal

  • Act 34 with renewal

  • Act 73 FBI Clearance with renewal
