Job Description

MAIN FUNCTION:

Manages scheduling of patients and facilitates coordination of care between insurance companies, hospital departments and office personnel. Provides information for the billing process as required by division head. Reports to Sr. Director of Operations.

DUTIES AND RESPONSIBILITIES:

  1. Obtains all necessary information for patient office visit, assembles and completes required paperwork relevant to the type of office visit to be conducted.

  2. Sends out medical record release forms and required pre-visit paperwork and educational materials to patients for extensive new visits.

  3. Coordinates daily schedules for providers according to established protocols.

  4. Organizes, files and scans medical information.

  5. Works closely with insurance companies to obtain proper certification for appointments and surgery. Documents conversations, follows through and assists with resolution of issues.

  6. Uses good communication skills with patients and families to keep them apprised of progress. Provides education and answers questions. Sends letters and educational materials when appropriate.

  7. Tracks patient through pre-determination process. Schedules or re-schedules appointments as necessary.

  8. Tracks no shows and cancelled appointments.

  9. Works with other AOMC departments to complete the pre-admission and surgical booking process. Provides necessary documentation and billing information

  10. Employee has a good knowledge of anatomy and physiology and a basic knowledge of surgical procedures and terminology.

  11. Tracks post op visits and collects appropriate documentation for insurance companies.

  12. Assists with data collection for outcomes scorecard as requested.

  13. Is responsible for attending mandatory annual educational programs and participates in the process as appropriate.

  14. Employee understands and demonstrates the importance of satisfying the needs of the customer/patient by interacting with him/her in a friendly and caring way, being attentive to the customer’s needs, both psychologically and physically, and by taking the initiative to maintain communication with the customer in order to provide a secure and pleasant experience with the Arnot Health.

    EDUCATION:

    High School graduate or equivalent with additional course work and/or experience in accounting or bookkeeping required.

    EXPERIENCE:

    One year background in medical business office with a strong background in third party reimbursement, CPT coding, ICD-9 coding, and Worker’s Compensation claims preferred. Demonstrated experience with medical office data processing systems.

    CARDIOPULMONARY RESUSCITATION (CPR) REQUIREMENTS:

    No CPR required.

    PHYSICAL DEMANDS:

    Light physical effort. Typical office job.

    EXPOSURE CATEGORY:

    Category III. Tasks that involve no exposure to blood, body fluid or tissues. And Category I tasks are not a condition of employment.
