Position Description:

This position is responsible for assuring smooth operation of the front clinic patient flow. Employees serve as primary contacts for patients and are responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position may responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Employees may be responsible for cash.

Major/Essential Functions:

  • Greets patients and performs patient registration, including updates of demographic data, financial data, insurance information, and any other third-party payor information—photocopy of insurance cards and picture ID.

  • Arrive the patient in centricity business system for daily reports.

  • Receives all incoming telephone Calls transferred by the call center agents for the Clinic, screened and directs to Staff/faculty as appropriate.

  • Schedules patient clinic appointments.

  • Cancels and reschedules appointments according to changes in physician's schedules in Centricity Business.

  • Cancels reschedules and creates new clinic schedules as needed.

  • Prepares and prints arrive/no-show computer daily report.

  • Performs discharge procedures, schedules patients for return visits, and collects fees accordingly.

  • Verifies Medicare, Medicaid, and all third-party carrier coverage prior to the patient's appointment.

  • Obtains pre-authorization or pre-certification for coverage of office visits or surgical procedures with appropriate ICD-10 and CPT codes needed.

  • Prepares daily deposits, obtains departmental approval, and submits deposits to the MPIP Department.

  • Negotiates deposits and/or deductibles for all elective procedures based on the patient's financial category.

  • Daily communication regarding appointments, clinic visits, patient, education and requirements, and any concerns daily with supervisor, physicians/providers, and patients.

  • Notify the supervisor of any changes in daily appointments and keep her informed of all patient issues pertaining to schedules.

  • Performs other work-related duties as determined by the Clinic Manager.

  • Adhere to all TTUHSCEP policies, procedures and processes.

  • Personally demonstrate, display, and act in accordance with TTUHSCEP’s values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork).

  • Actively promote and encourage staff across the institution.

  • Perform all other duties as assigned.

Preferred Qualifications:

  • Five years of office experience with 2 years in medical environment or 3 years work experience at TTUHSC in the Patient Service Program.

  • Preferred Knowledge, Skills and Abilities Knowledge of medical terminology, coding procedures, CPT and ICD-10, billing functions, cashier and data entry.

  • Familiar with Centricity Business (CBiz) ectronic Medical Record (EMR), Referral Management System(RMS), Cemer and phone systems.
