Position Description:

Supervises a section in a department that has institutional oversight responsibilities; coordinates activities of personnel and procedures to carry out departmental objectives according to established policies and procedures.

Major/Essential Functions:

  • Under direction of the Administrator of TCMHCC, will perform administrative duties requiring independent judgment and the application of established policies and procedures

  • Knowledgeable about federal guidelines and requirements and TTUHSC operating policies and procedures (OP)

  • Provide supervision and direction to program coordinators on the TCHATT team

  • Answers phones

  • Processes incoming and outgoing correspondence and tracks status of all correspondence

  • Draft, proof, edit correspondence, independently for understandability, grammar, punctuation and spelling, replies to correspondence as assigned

  • Answers main telephone line, responds to telephone inquiries from patients, staff and general public

  • Telephone calls will be handled in a professional manner

  • Monitors, oversees, executes, evaluates, maintains, and analyzes data for deliverables, progress, and quality of work being performed by staff, projected and program objectives

  • Oversees the daily progress of the TCHATT Coordinators

  • In charge of meeting project goals and objectives and general project management

  • Provide the TCHATT team with leadership and develop work systems and processes that effectively drive productivity, tracking, record, and compile program performance data

  • Coordinates, prioritizes, and schedules routine tasks and meetings (in person and virtual)

  • Provide accurate information on referrals for staff, program participants, and guardians

  • Provide community and regional resource assistance information, community programs for insured and uninsured participants

  • Gather data for resources list from research of public information, calling for information, and compiling list in excel

  • Staff of the Projects are made aware of appointments, in person or other

  • Projects include but are not limited to Newsletter development, communicating website updates, developing educational materials, and coordinating CME events

  • Develop and maintain relationship with appropriate agencies and attend meetings assisting with project requirements, presentations, education and outreach

  • Develop an effective plan of action for running the TCHATT referral/discharge program

  • Meets with therapist to discuss discharge planning

  • Submits monthly, quarterly reports on a timely manner

  • Coordinates and maintains filing / record keeping systems

  • Files and or records are easily accessed and in organized for easy retrieval of information

  • Uses TTUHSC EMR for record keeping and Trayt for statewide reporting

  • Prepares and completes all assignments from faculty, supervisor and administration in the department

  • Assignments will be completed by the designated deadline given

  • Adhere to all TTUHSCEP policies, procedures and processes

  • Personally demonstrate, display, and act in accordance with TTUHSCEP values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork)

  • Perform all other duties as assigned

Answer multi line phone system. Can skillfully direct phones call to appropriate source for assistance. Ability to keep or

to supervise the keeping of complex records; to assemble and organize data of a complex nature; and to prepare and

submit required reports from such records. Experience to provide executive administrative support including preparing,

maintaining, and managing a complex calendar and appointments, preparing travel vouchers, and strong computer skills.
