Job Description:

HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:

  • The administrative assistant will only be taking direction from the management team

  • Work activity is primarily transactional in nature and will require data input into specific government systems, a customer service mind set and higher-level critical thinking skills to resolve issues that surface associated with this unique workforce

  • The Administrative Assistant (AA) will have various levels of autonomy/discretion when operating within given work parameters to interact with the workforce as needed to get the job done

  • This position is generally behind the scenes type work; however the AA will be required to interact with the workforce that consists primarily of staff officer professionals within the Department at various levels from line officer to supervisor using both verbal and written communication

  • The AA may be responsible for initiating and completing office tasks for onboarding, separation, and generating requests for accesses. The AA will be responsible for tracking and inputting data for a specific program within the sponsor office which will include excel and scanning information into the computer

  • There is no travel required for this position, although the AA may be asked to courier documents between buildings on occasion

  • The AA will be expected to use their own initiative to update data and relay information to other offices as necessary

  • The ability to multitask, handle competing priorities, and complete requirements in a timely manner is a must. Attention to detail, the ability to research information across multiple systems, and possessing solid writing and organization skills is extremely essential for this requirement

  • All information associated with a specialized process that will be performed by the candidate is uploaded into a component centralized system and some sponsor generalized databases

  • Intermediate to Advanced knowledge of Microsoft office is key to the position, as well as the ability to use the folder system in Windows for data storage

  • Working knowledge of SharePoint is desired

  • The AA will be trained on unique job processes and internal systems; however a working knowledge of the sponsor centralized records system and messaging services are desirable

  • Previous experience within a mission center is also desirable

  • Supervision will always be available as needed

  • The primary duty of the Administrative Assistant (AA) will be tracking specific projects end to end which will include requesting required materials, monitoring responses to these requests, providing the request materials to a separate office, and tracking the production of a product received from the separate office

  • In addition, the AA will be responsible for managing the office filing system to ensure that records are stored correctly and easily discoverable

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active TS/SCI with Polygraph clearance

  • HS Diploma and 3 years of relevant experience or equivalent combination of education and experience

  • The Core hours for the office are 5am - 7pm M-F with flexible schedules allowed during those hours

  • Candidate must be able to operate in a team environment as well as successfully work on their own

  • This position is on customer site
