Job Summary

We are seeking a highly organized and professional Executive Assistant to provide dedicated support to our Chief Financial Officer (CFO). The ideal candidate will have exceptional communication skills, strong organizational abilities, and the capacity to manage multiple tasks efficiently. This role requires discretion, a proactive approach, and the capability to handle high-level administrative responsibilities in a fast-paced environment, particularly within the biotech industry.

Key Responsibilities

Administrative Support:

  • Manage the CFO’s calendar, including scheduling meetings, appointments, and travel arrangements.

  • Screen and prioritize incoming communications, including phone calls, emails, and mail.

  • Prepare and edit correspondence, financial reports, presentations, and other documents.

Meeting Coordination:

  • Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.

  • Assist in the preparation of materials for board meetings and executive presentations.

Financial Documentation and Reporting:

  • Assist in the preparation and review of financial documents, budgets, and reports.

  • Coordinate with finance and accounting teams to ensure timely and accurate financial reporting.

  • Maintain and organize financial records and documents.

Project Management:

  • Assist the CFO in managing various financial projects, ensuring timely completion and adherence to company goals.

  • Track progress on key financial initiatives and provide regular updates to the CFO.

Communication:

  • Act as a liaison between the CFO and internal/external stakeholders, ensuring smooth communication and follow-up on requests.

  • Draft, proofread, and distribute internal and external communications.

Travel and Event Planning:

  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.

  • Plan and execute company events, meetings, and conferences as needed.

Confidentiality and Discretion:

  • Handle sensitive financial information with the highest level of confidentiality and discretion.

  • Maintain confidentiality regarding company matters and executive decisions.

Office Management:

  • Oversee office operations related to the CFO’s activities and manage office supplies inventory.

  • Coordinate with other administrative staff to ensure smooth office functioning.

    Requirements

Qualifications

  • Bachelor’s degree in Business Administration, Finance, or a related field preferred.

  • Proven experience as an executive assistant or in a similar role supporting senior executives, preferably in the biotech or pharmaceutical industry.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Exceptional organizational and time management skills.

  • Strong written and verbal communication abilities.

  • Ability to work independently and manage multiple tasks simultaneously.

  • High level of discretion and professionalism.

  • Excellent problem-solving skills and attention to detail.

  • Knowledge of financial principles and reporting is a plus.
