The Office Administrator with Fiore & Sons provides exceptional frontline customer service to our guests, clients, callers, and team members. The Office Administrator is responsible for greeting, assisting, and providing direction and information to various stakeholders while creating a positive and supportive environment. The Office Admin is also responsible for maintaining and scheduling conference rooms, managing office supplies, and providing various support to team members. The Office Admin is highly skilled in various computer programs, such as the Microsoft Office Suite, and has outstanding communication and customer service skills.

TOTAL COMPENSATION

$21.44 to $28.75 per hour

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Welcome guests and staff with warmth and professionalism, providing routing, directions, and assistance as needed.

  • Ensure all calls to the main line are answered and appropriately routed in a professional, friendly, and prompt manner.

  • Communicate in a manner that fosters lasting relationships with internal and external stakeholders.

  • Maintain clean and welcoming front desk and lobby areas, breakrooms, conference rooms, and lunchroom.

  • Manage all office supplies and maintain inventory levels for highly used items following established budgets and guidelines; receive and stock all supply orders.

  • Schedule and coordinate meetings for conference rooms, arrange for necessary equipment, and ensure meeting spaces are clean and prepared for use.

  • Perform various administrative tasks, such as data entry and management, filing, preparing mailings, and managing stamp printing and circulation.

  • Manage contract accounts (i.e.: landscapers, window cleaners, etc.) by communicating with service providers, scheduling services, and annually reviewing contract service providers to ensure best services and prices.

  • Support the onboarding of new staff members by ordering and distributing basic office supplies, business cards, nameplates, etc.

  • Perform various department one-off requests and provide support to staff members by completing requested tasks such as data entry, file management, mailing prep, etc.

  • Provide support for various large and small-scale document production projects, such as Safety pamphlets and Leadership Journey books, by printing, scanning, sorting, organizing, and preparing materials.

  • Perform office opening/closing procedures.

  • Arrange and set up catering services for internal office meetings.

  • Oversee and manage check pickups and drop-offs.

  • Assist with contract circulation and signature gathering, as necessary.

  • Manage internal programs, such as Challenge Coins.

  • Provide support for internal and external events.

  • Assist with travel coordination and planning for staff members.

  • Participate in regular meetings with supervisor as well as department staff meetings.

  • Other duties as assigned.

QUALIFICATIONS

Required

  • Exemplary customer service skills with the ability and desire to communicate with and support internal staff, clients, vendors, and customers.

  • Strong multi-tasking ability, given multiple simultaneous projects and the requirement to jump consistently between projects and stakeholders and deal patiently and accurately with constant interruptions.

  • Strong administrative mindset with superb attention to detail, a passion for organization, and a mastery of systems and patterns.

  • Significant ability to take ownership of problems, accept responsibility, and create solutions for tasks, issues, and outcomes and respond in a way that encourages feedback.

  • Computer proficiency and technical aptitude with the ability to use Microsoft Office products.

  • Solid interpersonal, communication, and EQ skills to communicate effectively with all stakeholders and collaborate in an open, positive, and respectful manner.

  • Initiative, ownership, and follow-through, with a can-do attitude and the ability to effectively prioritize tasks and responsibilities.

  • Flexibility, adaptability, and coachability, including the ability to adapt to different teaching and management styles and respond well to critiques and process changes.

  • High level of professionalism with outstanding work habits and ethics that include being reliable, consistent, and setting high standards for oneself as well as the ability to remain professional under high levels of stress.

Preferred:

  • Bilingual in English and Spanish.

WORK ENVIRONMENT:

Primarily office-based work with varying temperatures and extended screen time.
