Job Title: Gift Planning Coordinator FLSA Status: Full Time - non-exempt Reports to: Associate Director of Gift Planning Schedule: Monday - Friday Supervises: N/A Rate of Pay: $29.65 per hour Closing Date: 11/19/2024 Benefits: Standard; Full-Time, Non-Exempt employees are eligible for but not limited to the following: Health, vision, dental, life as well as voluntary life and disability insurance Sick leave benefit - 1 day per month, 12 sick days per year (accrual and availability begins at hire) Vacation benefit - 10 vacation days per year, accrued at the rate of .0385 hours for each hour worked, excluding overtime (accrual begins at hire but may not be used until the completion of six months of employment) One floating day off for use (accrued immediately, and again annually, but may not be used until the completion of the initial three-month introductory period of employment) Pension Plan (after one year of continuous service) Voluntary Tax-Deferred Annuity Plan (403(b)plan) Function: Under the direction of the Director & Associate Director of Gift Planning and the Divisional Director of Development, the Gift Planning Coordinator will support the Intermountain Division's Gift Planning program by efficiently coordinating the daily operation of the Gift Planning Office thereby contributing to the overall success of the team.
Software-related Skills: Highly proficient in MS Office Suite (Word, Power Point, Teams, and Excel). Proficiencies in donor databases or CRMs such as Portfolio, Salesforce, or similar are helpful. The ability to learn new systems or programs that may be priorities for The Salvation Army gift planning is desired.
Duties and Responsibilities:
Provide administrative support to Gift Planning Directors including the management of confidential files and reports, screening calls, processing mail, performing data research. Answer the Gift Planning office phone and respond to donor gift inquiries in a timely manner and take appropriate follow-up action, as necessary. Coordinate and execute marketing projects with the guidance of Directors of Gift Planning on an ongoing basis. This includes assisting with scheduling, preparation, editing, mailing and tracking of all planned giving marketing materials and budget. Coordinate and produce mass mailings such as newsletters, invitations, announcements, holiday cards, postcards, surveys, etc. Interface with vendors to track projects and schedules. Submit vendor invoices to Finance for payment in a timely manner. Coordinate and assemble projects when requested. Manage inventory of planned giving marketing materials and replenish orders. Assist with special event functions including seminar materials as directed by Gift Planning Directors, researching event facilities and obtaining vendor proposals, managing invitation responses, answering donor inquiries, attending seminars and coordinating and checking-in of guests. Create and modify documents using MS Office Suite. Perform general clerical duties, including copying, scanning, mailing and filing. Produce database reports such as leads lists and caseload spreadsheets. Compile and manage survey responses from professional advisors. Compile and manage survey responses from donors. Maintain and update donor hard copy and/or electronic files in conjunction with the Portfolio database. Schedule and coordinate donor meetings as directed. Provide backup support, including occasional special assignments within the Development department as directed by either the Divisional Development Director or the Directors of Gift Planning. Adhere to all policies as outlined in the Employee Handbook of The Salvation Army and in his/her employment agreement. Refrain from engaging in activity which might lead to a conflict of interest and refrain from any direct personal gain as a result of donor contacts (or access to donor information). Performs other duties as required.
Qualification and Education Requirements: Bachelor's degree and 5+ years of experience in an office environment acting in support of one or more professionals. Superior verbal and written communication skills. Strong critical thinking and organizational skills. Ability to maintain confidentiality and sensitivity in relation to information and documentation. Ability to comprehend and interpret the full slate of gift planning instruments and related tax incentives to prospective donors. Be supportive of The Salvation Army's mission.
