Job Description:

As a Bilingual Administrative Assistant, you will play a crucial role in supporting the administrative functions of our educational institution. You will provide administrative assistance to various departments while serving as a liaison between Spanish-speaking students, parents, and staff members.

Key Responsibilities:

  • Provide administrative support to faculty, staff, and students in both English and Spanish.

  • Serve as the primary point of contact for Spanish-speaking students and parents, addressing inquiries and providing assistance as needed.

  • Assist with scheduling appointments, meetings, and events, ensuring effective communication with Spanish-speaking participants.

  • Translate documents, forms, and correspondence from English to Spanish and vice versa as required.

  • Maintain accurate records and files, both electronic and physical, ensuring confidentiality and compliance with privacy regulations.

  • Assist with the coordination of student enrollment, registration, and orientation processes, providing support to Spanish-speaking families.

  • Collaborate with other departments to ensure effective communication and support services for Spanish-speaking students.

  • Assist with Spanish-language interpretation during meetings, parent-teacher conferences, and other school events.

  • Coordinate with external agencies and community organizations to provide support and resources to Spanish-speaking students and families.

  • Perform general administrative tasks such as answering phones, responding to emails, and data entry.

    Requirements

Requirements:

  • Fluency in both Spanish and English, with excellent written and verbal communication skills in both languages.

  • Previous experience as an administrative assistant or in a similar role in the educational industry is preferred.

  • Strong organizational skills and attention to detail.

  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Empathy, cultural sensitivity, and the ability to build rapport with diverse student populations.

  • Knowledge of educational terminology and processes is a plus.

  • High school diploma or equivalent; additional education or training in office administration is preferred.
