We are looking for an experienced and self-motivated individual to fill the position of Sr. Administrative Assistant at our corporate office located in Dallas, TX. 

Essential Job Duties:

  • Provides administrative support to Supply Chain organization with a high level of trust and confidence.
  • Work independently and within a team on special, nonrecurring, and ongoing diverse projects. Act as a project manager for special projects, which may include planning and coordinating multiple presentations, disseminating information, and organizing events.
  •  Must develop and acquire working knowledge of Supply Chain systems administration, policies, procedures and practices.
  • Maintains a close working relationship with sales organization, other functional organizations and key outside contacts for the VP of Supply Chain. 
  • Maintain a close working relationship with all members of management and have knowledge of company activities on a corporate level.
  • Administrator for OxyChem’s Fleet Management program coordinating the routine vehicle requirements of the company fleet.
    • Responsible for understanding and adhering to the policies and procedures related to the Vehicle Program.
    • Day-to-day administration of the vehicle fleet program managing the assignment of vehicles, maintenance service levels, vehicle registration/licensing and providing high level service to drivers and managers.
    • Maintain Wheels database and provide miscellaneous reports.
    • Maintain Fleet Management Teamsite including Payroll Reporting System.
    • Ensure vehicle quotes reflect correct manufacturer incentives and discounts as well as Oxy’s specified options.
    • Perform an annual audit of all vehicles and services and resolve issues.
  • Administrator for business cards and letterhead program.
    • Maintain the database ensuring appropriate logos for all locations and entities.
    • Approve business card orders ensuring they meet Oxy guidelines.
    • Order OxyChem and OxyVinyls letterhead and envelopes.
  • Prepare Major Supplier report bi-annually and major supplier spend quarterly.
  • Update and maintain Supply Chain teamsite.
  • Develop and maintain department organization charts and databases that support the Supply Chain department.  Manage electronic central filing of contracts, agreements, and files.
  • Responsible for creating departmental purchase requisitions and ensuring proper coding of invoices, and preparing and distributing incoming/outgoing mail.
  • Schedule and organize activities such as meetings, travel, and department functions.
  • Organize and prioritize large volumes of information and calls (internal and external).

Qualifications

  • Minimum of high school diploma or equivalent
  • 7-10 years relevant experience preferred with strong, demonstrated organization skills, and administrative competencies.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
  • Must be able to interact and communicate with individuals at all levels of the organization and with key customers.
  • Work requires continual attention to detail in composing, typing, and proofing materials. Must be able to work in a fast-paced environment with demonstrated ability to organize and prioritize heavy and diverse workloads with accuracy while meeting critical deadlines and maintaining composure under pressure.
  • Ability to work a flexible schedule, including overtime, when required.
  • Demonstrated ability to be self motivated and an enthusiastic team player.
  • Strong written and oral communication skills.
  • Demonstrated high level of proficiency in PC applications and operating systems, Microsoft office products (Outlook, Word, PowerPoint, Excel, Access, XMS and SAP knowledge preferred).
