Spark Power Fleet Administrator in Dallas, Texas

Fleet Coordinator

Spark Power, a trusted partner in energy in North America is looking for a Fleet Coordinator to join our team in the Dallas - Fort Worth office. The Fleet Coordinator has the responsibility for administering all avenues of business related to Fleet contracts. You will work within the fleet team to tactically support vehicle acquisition, upfitting, vehicle maintenance, fuel consumption, rental management, telematics troubleshooting, etc.… while maximizing the value of our fleet; all the while, helping to reduce risk across the fleet, its drivers, and partners, both external and internal.

The right candidate will have a minimum of 1 year of experience in fleet and a desire to grow their career in logistics.

Here's what you will do as a Fleet Coordinator:

  • Streamline, support, and administer the Spark Power North American fleet; including, but not limited to: Maintenance, Fuel, Rentals, Licensing, Accidents, Insurance, Inventory Management, Driver Base/Contact Database, and Telematics Data for the fleet of (approximately 600 vehicles)

  • Assist in the reporting out on the budget for Fleet, report on this quarterly or as needed.

  • Manage and maintain all rented vehicles in the Country, ensuring vehicles are used within Spark Power's parameters, while ensuring effective communication with the field is maintained to drive cost awareness into Spark Power's rental vehicle program.

  • Administration of lease contracts for all fleet vehicles for Canada and the US, obtaining titles/insurance for new vehicles while maintaining registration/insurance for existing vehicles.

  • Work directly with 3rd party suppliers (i.e. decal provider), GPS provider & installers, and the overall maintenance vendor network

  • Maintain Fleet Management software, all Fleet related Licenses, Maintenance & Fuel card tracking, etc.

  • Maintain and ensure timely and effective records are kept and up to date for all fleet services

  • Ensure all SOP documents are followed and up to date, making recommendations on changes where necessary.

  • Support Fleet manager in the maintenance and implementation of all Spark Power Fleet policies and oversee the execution of preventative fleet maintenance for Line of business to increase efficiencies & effectiveness of our overall fleet.

  • Proactively engage and report on operational performance of the fleet, such as lifecycle management, fuel consumption, and cost analysis, use & location of all rentals daily, analyze maintenance costs and/or repairs and provide expert recommendations. Track utilization of fleet, as well as make recommendations for the redeployment, deletion or addition of units

  • Support Fleet Manager in the development of and oversee maintenance of systematic, analytical, and results-based methods for savings, monitoring supplier's performance, and sourcing effectiveness; communicate these results to appropriate stakeholders as needed.

  • Establish a playbook of processes for providing operational input for new acquisitions and/or building consolidations

  • Maintain, develop and drive continuous improvement of the Key Performance Indicators in line with the Fleet Teams goals and Company objectives

  • With guidance from Fleet Manager, oversee the billing process, ensuring that invoices are accurate, timely, and comply with contractual requirements.

  • Coordinate with vendors and suppliers to ensure timely and accurate payments are made.

  • Performs other duties as assigned & other ad hoc duties

Do you have the Spark? Here's what we're looking for:

  • 1-2 Years of experience working in a Fleet or related position would be an asset

  • Knowledge of current fleet industry trends, methodologies & technology an asset

  • Certificate/Diploma/Degree in Business, Supply Chain, Fleet, or related field from an accredited college/university

  • Proficient with Microsoft Office Suite (Specifically MS Excel, PowerPoint, and Power BI)

  • Excellent written, verbal, telephone, and digital communication skills with superb customer service

  • Balancing workloads and time constraints, while managing/delegating as needed.

  • The ability to notice problems and the root causes early, produce a plan to correct the issue found. Efficient use of time and resources to implement the pre thought out plan. 

  • The ability to spot details at close and far range, noticing settings, operations, and site conditions that are different than the norm and adjust accordingly.
