Job Description

As Client Operations Lead (COL), you will serve as the day-to-day client-facing program lead on a large-scale Toyota.com platform initiative. You will drive accountability through teams, you’ll establish and ensure processes, operational standards and protocols, and you will be the senior seasoned leader to facilitate planning and management of the operational details of the work to drive towards delivery—including workflow, burn tracking, risk assessment, resource management and scoping support, tool usage guidelines, documentation, cross-team communication, and reporting on the program status and health.

Responsibilities include, but are not limited to:

  • Serve as program lead by establishing standards and maintaining operational effectiveness across cross-functional teams, including internal team, agency partners, and internal and client stakeholders.

  • Develop and manage timeline and roadmap across all product verticals, including risk management/documentation for escalation, and leading recurring internal team lead meetings to discuss status, interdepencies, timing updates, resourcing, and agency partner updates.

  • Manage program-wide ceremonies, including weekly risk/status meetings with clients and partners, program-wide reviews/demos for leadership, agenda for program-level reviews/demos, and delivery projections.

  • Establish and manage program-wide documentation standards, as well as tool usage guidelines and reporting.

  • Facilitate reviews and roadmap collaboration forums, bringing together multiple agency partners, and client stakeholders across various business units.

  • Orchestrate annual, quarterly, and bi-weekly planning sessions, in which all partners and clients develop and align on specific sprint by sprint and delivery plans for all efforts.

  • Drive continuous improvement by evaluating process, burn, output, and quality, in addition to uncovering redundancies and risks, and recommending areas to streamline and/or increase velocity of output across teams.

  • Set up internal and client meetings, disseminate notes and program documentation, and funnel out program-wide communications regarding program ceremonies, planning efforts, and status to ensure all teams are in lock step.

  • Lead and/or facilitate internal discussions designed to foster collaboration and continuous improvement across departments, including cross-sharing learnings and key information that could support other project teams, application of best practices, workback calendars and schedules, and supporting scope and resource management.

  • Partner with Business Operations and Resource Management on scope and resource planning and monitoring, providing initiative-specific context to inform resourcing decisions, help manage workload, and assess burn.

  • Ensure that spec changes and creative/production implications are understood and communicated across appropriate disciplines and project teams, as needed.

  • Adapt to program changes and potentially manage other Client Operations team members across program or portfolio of work.

Qualifications

  • 8-10 years of project or client/account management experience in an ad agency or digital agency managing large-scale website, application, or digital product initiatives. Previous vehicle or similar scale client experience preferred.

  • Extensive management of multidisciplinary campaigns or large-scale projects from project initiation through delivery, including oversight of scheduling, budget management, and production best practices.

  • Experience utilizing agile, scrum, and/or hybrid project management methodologies; Scrum Master Certification preferred.

  • Ability to confidently speak to and manage expectations around technical aspects of website creative and production process, including requirements, creative file types, development, quality assurance, and testing.

  • Train, mentor and develop team members’ knowledge and capabilities.

  • Understand and articulate business reasons behind agency processes and best practices.

  • Knowledge of Microsoft Office 365, Google Docs, PowerPoint, Keynote, Acrobat Professional, Smartsheet, Jira, and Confluence. Working knowledge of Adobe Photoshop and Figma; knowledge of social media platforms.

Compensation Range: $91,000.00 - $154,000.00 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time.
