Description

We are looking for an Administrative Assistant to join our team at a luxury shopping mall located in Dallas, Texas. This role primarily involves assisting in the leasing process, coordinating the creation of lease documents, and maintaining a detailed timeline of leasing negotiations and execution. This position will offer a contract to hire employment opportunity.

Responsibilities:

• Assisting in the complete leasing process, from tracking the advancement of lease agreements to maintaining a detailed timeline of leasing negotiations and execution.

• Coordinating the creation of new lease documents, including new leases, lease renewals, lease terminations, and lease amendments.

• Interpreting lease documents and creating lease briefs to ensure comprehension of each lease agreement.

• Assisting in generating reports related to leasing operations.

• Conducting professional correspondence with internal and external stakeholders such as clients, internal teams, and legal advisors.

• Reviewing leases and verifying related documents for execution in cooperation with the legal team.

• Ensuring that all leasing documents are accurately digitized, filed, and easily accessible for various departments.

• Collaborating cross-functionally with the Design/Architect team during the leasing process and providing finalized lease details.

• Utilizing skills such as answering inbound calls, customer service, data entry, email correspondence, inbound outbound calls, Microsoft Office suite, scheduling appointments, and commercial leasing.

• Administering lease renewals, lease documents, lease administration, lease agreements, lease contracts, leases, tenant leases, document scanning, filing, and e-Filing.

Requirements • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint

• Proven skill in answering inbound and outbound calls

• Exceptional customer service abilities

• Demonstrated experience in data entry

• Skilled in email correspondence

• Ability to schedule and manage appointments efficiently

• Familiarity with commercial leasing, lease renewals and lease administration

• Experience in handling lease documents, agreements and contracts

• Knowledge and understanding of tenant leases

• Proficient in document scanning, filing, and e-Filing

• Ability to multitask and prioritize work as required

• Excellent communication and interpersonal skills

• Proactive and detail-oriented approach to work

• Ability to maintain confidentiality and handle sensitive information

• High level of organizational skills and ability to manage multiple deadlines

• Demonstrated ability to work effectively both independently and as part of a team.
