The Senior Program Coordinator provides administrative support to faculty and acts as a liaison between faculty, students, and other Universities. This position assists in the development, monitoring, and reporting of departmental budgets.

DEPARTMENT SPECIFIC DUTIES

The College of Arts and Sciences is interested in hiring a Sr. Program Coordinator who will provide administrative support for the Graduate Programs under several assigned departments. In addition to the core responsibilities above, the Sr. Program Coordinator will also be responsible for the following:

  • This position will support the graduate programs for several assigned departments in the College of Arts & Sciences.

  • Position works under the guidance of the Director Graduate Studies (DGS) and Associate Director, Finance.

Graduate Program:

  • Responsible for coordinating and expediting the flow of graduate student applications, including verification of required documentation and preparing report on prospective candidates for final review by the Graduate Committee for recommendation for admittance.

  • Coordinates scheduling and registration for graduate program.

  • Responsible for graduate students financial and human resource related matters including but not limited to, compensation for teaching assistants and funding support to present at national/international conferences.

  • Prepares pre- and post-travel of graduate students for approval and reimbursement.

  • Formulates and ensures payment of salary, stipend or scholarship to all graduate students as directed by adviser, principal investigator, or Directors.

  • Coordinates recruitment and graduation events as requested.

  • Track scholarship, fellowship, and award spending for programs.

  • Prepares budget projections for scholarly and professional support.

  • Monitors financial reports for graduate program including TA stipends, travel expenses, and general graduate program expenditures. May assist with the reconciliation of other departmental accounts (gift accounts, speakers accounts, etc.).

  • Prepares progress reports on the individual graduate students academic standing in the program and ensures the confidentiality of such reports on file.

  • Coordinates the fall new graduate student orientation/symposium.

  • Serves as the liaison to A&S Graduate Program Office and University’s Graduate School confirming that all requirements are being met and ready for submission to candidacy for masters or doctoral degrees.

  • Prepares and maintains reports on graduate curriculum enrollment trends.

  • Supervises the update of the departments graduate program brochures and information packet.

  • Maintains departmental academic files for graduate students.

Education:

  • High school diploma or equivalent

Experience:

  • Minimum 3 years of relevant experience. Any relevant education, certifications and/or work experience may be considered.

Knowledge, Skills and Attitudes:

  • Skill in completing assignments accurately and with attention to detail.

  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.

  • Ability to process and handle confidential information with discretion.

  • Ability to work evenings, nights, and weekends as necessary.

  • Commitment to the University’s core values.

  • Ability to work independently and/or in a collaborative environment.

  • Proficiency in computer software (i.e. Microsoft Office).
