Overview

Facility Coordinator

Position Summary:

This critical role provides comprehensive administrative support for the facilities operations team, ensuring the smooth and efficient operation of our facilities. Responsibilities include processing work orders, managing access requests, scheduling vendors, and assisting with other administrative tasks. A valid Security Clearance with Polygraph is required.

Essential Duties and Responsibilities:

  • Administrative Support

  • Manage inventory, process expenses, and perform other assigned duties to support facilities managers and supervisors.

  • Assist other staff with implementation and organization of tasks.

  • Serve as a backup liaison to other internal support groups, communicating and coordinating effectively with vendors and internal/external staff members.

  • Assist with initiating purchase orders as required.

  • Work Order Processing & Maintenance Coordination

  • Answer incoming phone lines for maintenance requests and dispatch appropriate personnel according to established protocols.

  • Take work order requests, distribute them to the designated staff, and manage their closure, ensuring efficient completion.

  • Coordinate service requests with clear communication to ensure timely resolution.

  • Maintain daily contact with vendors and contractors to schedule, track, and manage miscellaneous repairs and maintenance activities.

  • Update and maintain the approved vendor access list, performing monthly, quarterly, and annual services to ensure compliance.

  • Work with facility management to ensure completion of all assigned special project work as instructed.

  • Additional Responsibilities

  • May be required to work overtime or perform on-call duties to address urgent facility needs.

  • Perform other job-related tasks as assigned, demonstrating a willingness to learn and adapt.

Education and/or Experience:

  • High School diploma or GED (or equivalent experience).

  • Minimum 2 years of experience in a related administrative or facilities management role.

  • General computer knowledge with proficiency in Microsoft Office Suite or similar software programs.

  • Ability to manage multiple projects simultaneously, prioritize tasks effectively, and handle pressure in a fast-paced environment.

  • Must be dedicated to the highest quality and customer satisfaction, ensuring excellent service delivery.

  • Excellent written and oral communication skills with the ability to communicate clearly and concisely with staff at all levels.

  • Active US Government Top Secret Security Clearance/Sensitive Compartmented Information (TS/SCI) with a Full Scope Polygraph (FSP) is mandatory.
