Job Summary:

The Senior Leave Specialist oversees and provides total leave of absence claim management - from first notice and intake to closure - for the company nationwide. They will be the liaison between the outsourced vendor and our payroll/HRIS.

Essential Duties/Responsibilities:

  • Oversees and provides total leave of absence claim management – ensure that the outsourced LOA administrator is meeting all performance goals.

  • Handle complex leave cases requiring use of sound judgement, based on knowledge, skills, and prior experience.

  • Monitor any changes in State of Federal leave mandate and ensure the company stays compliant with such changes.

  • Serves as the primary point of contact for LOA Administrators, Management, Human Resources, Legal, IT, and plan vendors regarding all leaves of absence related processes.

  • Ensures accurate records and reporting of employee leaves, Including leave tracking and compliance with company policies and federal and/or state regulations.

  • Serves as the subject matter expert for the leave programs in alignment and under the general direction and guidance of the Director of Benefits and other members of the leadership team.

  • Ensures highest level of customer service with client companies and employees and provides responsive support throughout LOA process., including providing guidance and explaining the leave process to ensure understanding of rights and responsibilities.

  • Collaborate with HR stakeholders to develop and update leave of absence policies, procedures and related documents.

  • Provides ongoing training and education to managers and employees on leave of absence policies, procedures and compliance requirements.

  • Oversees integration of leaves (i.e. Workman’s compensation with FMLA) and integration with other functions (benefits during LOA, payroll, etc.).

  • Provides day-to-day management and development of LOA support team.

  • Takes part in continuing education on LOA topics and ensures 100% federal and state compliance in all areas in which we operate.

  • Owns and answers all inquiries pertaining to Leave from the Benefits Inbox.

  • Assists in M&A (transition of leave) and/or other Benefits projects (Annual Enrollment, etc.) as needed

Education and Experience:

  • Bachelor’s Degree or equivalent experience preferred

  • Minimum of five (5) years' human resources experience

  • Minimum of three (3) years of experience in leaves of absence claims management

Required Skills and Abilities:

  • Strong knowledge of leave of absence regulations and compliance requirements (FMLA, ADA, state leave laws).

  • Ability to perform complex tasks typically following established processes.

  • Strong organizational and problem-solving skills with the ability to independently research and analyze leave-related issues in a high volume, fast-paced environment.

  • Sound judgement and discretion in managing sensitive or confidential matters.

  • Superior client service and follow up skills.

  • Team player with ability to build effective working relationships.

  • Excellent interpersonal skills and effective verbal and written communication skills.

  • Proficient in MS Office Suite, internet and database management or related software

  • Ability to thrive in a fast-paced and ever-changing environment

  • Potential for up to 10-20% domestic travel, as required

Office:

  • Remote and office based in downtown Chicago

  • Location: This position offers a flexible remote/hybrid work arrangement for candidates that are able to travel into the Chicago, IL office as needed.

Physical Requirements:

  • Majority (90%) of work is conducted indoors in air-conditioned or well-ventilated facilities.

  • The employee is generally subjected to long periods spent sitting, typing, or looking at a computer screen.
