Job Description

We are seeking an outgoing and motivated individual to join the team as a Payroll Administrator based out of Chicago office. This individual will oversee the processing of multi-country and multi-state payrolls (US), maintaining related records, and developing and documenting various policies and procedures.

Responsibilities

  • Manage and implement internal and external payroll processes and procedures;

  • Effectively track payroll activities such as review of leave of absence payments, retroactive payments, bonuses, new hires, and terminations;

  • Reconcile payroll prior to payroll preview and validate confirmed changes;

  • Actively administer entries including but not limited to taxation for new hire, new direct deposit information, address updates, and other administrative duties as assigned;

  • Coordinate closely with Human Resources to ensure that benefits and other withholdings are reflected accurately in payroll records;

  • Identify the accounting treatment of complex transactions related to payroll and provide sound advice on the matter;

  • Coordinate efforts between payroll, Human Resources, and other departments to ensure proper flow and maintenance of employee data;

  • Work with third party payroll providers to ensure compliance with federal, state, local and international tax and wage laws;

  • Respond to tax notices, wage orders, and governmental correspondences;

  • Ensure that all monthly, quarterly and annual payroll tax filings are met;

  • Support various external, payroll and agency audits, both domestic and international;

  • Audit year-end employee tax documents including T4s, W2s, and P60s;

  • Generate payroll reports as needed;

  • Coordinate payroll funding requests with Accounting;

  • Respond to employee inquiries concerning payroll ensuring high customer satisfaction;

  • Assist with special projects as needed.

    Requirements

Qualifications:

  • 1-3 years relevant experience in global payroll administration;

  • Working knowledge of general payroll protocols, accounting principles, laws, taxes, and best practices;

  • Comprehensive experience on multi-state tax jurisdiction set-ups and analysis;

  • Excellent written and interpersonal communication skills;

  • Ability to maintain confidentiality and security of data;

  • Self-motivated individual with a high level of attention to detail;

  • Strong team player with exceptional work ethic.
