Responsibilities:

Mail Duties

  • Responsible for all incoming/outgoing mail services; receives, sorts and distributes all mail, packages, and office supplies daily, ensuring that all packages and accountable mail is tracked and signed for.

  • Ensure timely, efficient, and effective mail sweeps throughout various floors.

Switchboard Duties

  • Answer the main telephone line into headquarters; Track intra-company and executive calls for monthly metrics.

  • Direct all intra-company calls to appropriate departments.

  • Answer Executive telephone lines as needed.

  • Escalate external customer concerns to the appropriate department.

  • Check voicemail and route messages to appropriate parties.

  • Stock replacement signage drawer allowing hospitality floor representatives to utilize, as needed.

  • Update mock copy board in Service Center with all approved postings.

Conference Center Support

  • Set up conference rooms/beverage requests per the schedule provided by the Conference Room Reservation Team.

  • Maintain Conference Center furniture cleanliness and organization in the assigned storage room.

  • Load and start dishwasher with all dirty dishes daily.

  • Ensure all beverage set-up dishes are clean, including brewers, carafes, ice buckets, tongs, and condiment holders.

  • Report Restroom issues to Central Services Team Member for resolution via Issue Log.

  • Restock all coffee, tea, pop, water, condiments, and general canteen supplies.

  • Other duties as assigned by management.

    Qualifications:

  • HS Diploma or equivalency required.

  • Working knowledge of mail/distribution basics or office experience equivalent.

  • Working knowledge of Microsoft Products including: Word, Excel, Outlook, and Teams.

  • Must demonstrate exceptional customer service skills; adaptable to a dynamic environment while possessing strong interpersonal skills.

  • Must be able to learn new skills quickly.

  • Flexible and able to juggle multiple, and at times, conflicting priorities.

  • Strong initiative required; ability to work independently with minimal direct supervision.

  • Able to remain diplomatic in stressful situations; team oriented and has the capacity to build strong working relationships both within the team and with external stakeholders/customers.

  • Exhibits superior verbal and written customer service skills.

  • Maintains confidentiality while working with highly sensitive materials.

  • Able to walk, bend, kneel, stand, and/or sit for extended periods of time.

  • Able to lift or move 50lbs or greater at times.
