The Office Concierge ensures all operations are running smoothly in the office. The concierge answers calls and emails in a timely fashion, checks conference rooms daily, and manages conference room set up and reservations. In addition, the concierge maintains all areas clean and organized and restocks supplies as need. The concierge will maintain all inventory and reorder supplies as needed and also manage all incoming and outgoing mail and packages.

Responsibilities:

  • Able to remain calm under pressure and adapt to an ever-changing work environment.

  • Assures all calls are answered professionally and promptly, routed to proper individuals, and takes messages when necessary.

  • Checks conditions of conference rooms each morning - organized (stocked with markers, dry erase cloth, correct chair count), clutter-free (no documents laying around, etc.) and dry/erase boards are clean as well as cork boards.

  • Manage conference room set-up's for the day, place requested equipment / supplies (flipcharts, microphone, special room configurations, etc.) in the appropriate rooms (Lakeview / Bridgeport, The Loop, River North and/or Multi-Purpose room, etc.).

  • Responsible for maintaining the Special Event Calendar and keeping it accessible on SharePoint. Be prepared to share upcoming events every Wednesday during the Weekly Status Meeting.

  • Check The 606 Outlook mailbox. Provide answers in a timely manner not to exceed 24 hours.

  • Keep the Facilities Storage room organized and clean.

  • Sorts incoming mail for distribution and dispatches outgoing mail

  • Sort parcels for shipping and receiving.

  • Develop working knowledge of A/V equipment on site.

    Qualifications:

  • High school diploma or equivalent preferred.

  • Ability to multi-task.

  • 1-3 years experience with Microsoft Office Software (Word, PDF, Power Point).

  • Excellent customer service skills; must possess a "can do" attitude.

  • Excellent communication skills both verbal and written.

  • Ability to effectively work individually or in a team environment.

  • Must be able to lift up to 50 pounds.

  • Assertive and resourceful; self-motivated; willing to ask questions and take initiative.

  • Consistently demonstrates professional demeanor, appearance and attitude.

  • Must be able to perform physical activities, such as, but not limited to, lifting, bending, standing, or walking.
