Overview

Walsh is currently seeking a Human Resources Coordinator in Chicago, IL.

The Corporate HR Coordinator is responsible for many clerical functions within the Human Resources Department as well as coordinating many programs throughout the company.

Responsibilities

  • Provides general administrative support; duties may include the following: 1) Data entry and reporting, 2) processing invoices, check requests, or other paperwork, 3) answering department phone calls.

  • Assist with coverage for the Corporate Receptionist in the Main Office

  • Maintains office efficiency by organizing meetings and correspondence such as phone calls, emails, mail and other deliverables. Opens and distributes incoming mail to appropriate team members.

  • Coordinate and track results of Corporate Drug Testing policy, which included weekly random drug screening selections.

  • Review and response accordingly to the subpoena’s received within the department as well as work with Legal Department on other employee file requests.

  • Manage the Driving Authorization Program for the Company, which includes generating MVR reports, review report for compliance within Company guidelines, and sending out Non-DOT Driving Authorization stickers to the regional offices. Employees that have driving authorization also require an annual MVR to be generated and reviewed for maintenance of the program.

  • Process Employment Verification letters as requested, which may include DOT verification documentation.

  • Maintain accurate and timely employee records in all required systems. This would include but not limited to trade new hires/rehires, address changes, terminations, and direct deposits

  • Generate reports of various topics through CMIC and iCIMS systems and communicate with regional HR personnel, management or other service group departments.

  • Coordinate company mailings, such as pension plan and 401(k) legal notices that must be mailed out annually.

  • Complete various internal HR Audits as required. This may include but is not limited to auto benefits, vehicle assignments, drug test administration, etc.

Qualifications

  • High School diploma required. Associates degree or some administrative training is a plus.

  • At least 2 years relevant experience

  • Ability to work in a fast-paced environment.

  • Ability to take direction and prioritize responsibilities – must be a multi-tasker. Solid written and verbal communication skills.

  • Comply with Privacy and Confidential policies and regulations.

  • Proficient with MS Office Programs.
