This position is open to the public and all current City employees covered under the City’s collective bargaining agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) – BARGAINING UNIT 1, 3, 4 & 5. Only employees in City job titles in this bargaining unit are eligible to bid.

ESSENTIAL DUTIES

Under supervision, responsible for ordering, ensuring delivery and payment for library materials, goods and services for the Chicago Public Library. Verify the accuracy of vendor shipments, packing lists, quotes, requisitions, invoices and statements and correct errors if needed. Prepare correspondence, distribution lists, renewal summaries and statistical reports using Microsoft Office 365 Suite including, Excel, Word, and SharePoint. Work across multiple electronic systems (i.e. Integrated Library System, Shelf Life, Financial Management Purchasing System, vendor websites) to maintain records related to purchasing, claiming, receipt and payment. Research and resolve payment and billing discrepancies with vendors. Respond to questions and concerns expressed by ordering agencies and other City of Chicago Departments. Submit claims for newspapers, magazines, and other library materials to vendors. Assist with special projects. Attend meetings, workshops, and training courses as assigned. Perform related duties as required.

LOCATION: Harold Washington Library Center

DAYS OFF: Two days per week

SHIFT: Monday- Friday 8:30am-4:30pm

HOURS: 37.5 hours per week to be scheduled during normal unit

Qualifications:

Two years of progressively responsible clerical experience, or an equivalent combination of training and experience.

SELECTION REQUIREMENTS

This position requires applicants to complete an interview and written test / skills assessment. Test results will be sent out by the Department of Human Resources after test results have been analyzed and compiled. Bid candidate(s) receiving a passing score on the test and possessing the qualifications best suited to fulfill the responsibilities of the position will be selected in seniority order according to the collective bargaining agreement.

Preference will be given to candidates possessing the following:

  • Proficient using Microsoft Excel

  • Experience using ILS

  • City of Chicago’s Financial Management and Purchasing System (FMPS)

  • Public library experience
