Dollar Tree Project Specialist-Adult Beverage in Chesapeake, Virginia

Project Specialist for Adult Beverages is responsible for assisting the Manager of Alcohol & Tobacco Licenses with preparation and tracking of the Adult Beverage Expansion initiative. The PSAB will serve as a liaison to Category Merchants, Store Operations, Legal, and Real Estate, to collect and screen project information for application processes. The PSAB will be responsible for confirming the accuracy and completeness of work submitted for Adult Beverage Expansion. Responsibilities further include preparation of timely communication and coordination/distribution of project materials and supporting project documentation, including directions for execution. Must maintain current licenses and renewals to retain ability to sell products in our stores. The PSAB must embrace Dollar Tree’s store-centric commitment to customers, customer service and sales.

Principal Duties:

  • Act as the liaison between Adult Beverage Licensing team, including Real Estate, Category Merchants, Store Operations, Legal, Licensing, also act as the internal gatekeeper to facilitate collection of project information and documentation to effectively communicate to Manager of Alcohol & Tobacco.

  • Coordinate with relevant state, county, and city offices confirming all necessary documentation & fees required for licensing, monitor timing of process, and maintain good working relationships with various governmental offices.

  • Prepare various documents and applications related to the licensing process.

  • Responsible for processing renewal applications for all required state, city county and health licenses/permits in a timely manner to avoid costly fines, penalties, loss of sales or store closures.

  • Coordinate with vendors as needed regarding preparation of needed reports such as surveys, inspections, evaluations, and other related reports/items needed for completion of licensing projects.

  • Prepare licensing packets to provide to clients in format(s) suitable for clients’ needs/requests.

Responsibilities listed in order of importance:

  • Meet/communicate with clients as needed to gather information & documents required for licensing transactions.

  • Utilize our web-based data management program to export/import scanned images, keep notes, and monitor past due/upcoming renewal dates.

  • Maintain database for tracking deadlines and required information related to applications and renewals for all licensing clients.

  • Utilize accounts payable software to create voucher/check requests to be mailed with renewal applications.

  • Contact issuing authorities for missing bills or licenses.

  • Research & review regulations/requirements to determine operating requirements for various licenses, promotional ideas, and regulatory compliance.

  • Create timelines/work plans documenting steps required to obtain necessary licenses and to complete projects.

  • Follow-up with members of this cross-functional group, to complete projects on time.

  • Support Merch/Ops workflow and ensure updates are submitted accurately and on a timely basis.

  • Work with relevant groups to create realistic timelines and deadlines to ensure all materials arrive prior to expected date of execution.

  • Work to prevent unnecessary, redundant, or contradictory information sharing.

  • Build internal relationships with key departments as well as external relationships such as 3rd Party Licensing Team/Consultants.

  • Follow best practices for Dollar Tree in the areas of store communications, planning, workflow, and distribution of materials.

  • Solicit meaningful feedback on project processes on a regular basis and present recommended process changes as needed.

  • Assist with ensuring ongoing compliance by licensed businesses and assist when compliance issues arise, including coordinating attendance of attorneys at hearings, city council meetings or board of commissioner meetings.

  • Use technology to perform tasks efficiently and effectively to best serve client needs.

  • Other job-related duties as assigned.

Minimum Requirements/ Education required:

  • Associate degree or equivalent experience is required.

  • Bachelor’s Degree from a four-year college or university is preferred.

  • Two (2) or more years of alcohol / liquor licensing or similar regulatory licensing experience.

  • Extensive experience with word-processing and spreadsheet programs.

  • Strong attention to detail, problem solving, communication and organizational skills required.
