State of Massachusetts Fiscal and Operations Coordinator in Chelsea, Massachusetts

The Department of Criminal Justice Information Services (DCJIS) manages and administers the Commonwealth of Massachusetts Law Enforcement Information and Criminal Records Systems such as CORI and SAFIS, the Firearms Records Bureau (FRB), and the post-conviction victim notification program. DCJIS is seeking a Fiscal and Operations Coordinator to support the agency’s accounts payable, revenue, procurement, inventory, and office operations. The position consists of broad activities including but not limited to fiscal, program administration, departmental procurements, and agency operations support. Assist with the coordination, technical oversight, communications and collections of the firearms licensing fees and CORI fees associated with above. Detailed Statement of Duties and Responsibilities: Review and process vendor invoices, accounts payables, and encumbrances in MMARS, following the Commonwealth of Massachusetts Payment Policies. Create processes and procedures for fiscal and operations such as developing, monitoring and adherence to internal controls, policies, and procedures. Assist in procurement, COMMBUYS, and MMARS, data entry responsibilities, along with Supplier Diversity Office data. Perform administrative activities for grant awards/programs. Work with customers regarding billing, including creating and issuing invoices. Process address changes and maintain vendor/customer (VCUST) profiles. Coordinate the activities of the unit to ensure effective operations, and compliance with established procedures, this includes website updates and departmental Service Now ticket. Coordinate and maintain accurate contract files for the Department in both electronic and paper format. Emphases on related billings, receivables, payments, vendor invoices, and correspondence. Coordination of project driven activities within the agency such as office moves, asset management, archival, and disposal. Perform other duties and special projects, as needed. First consideration will be given to those applicants that apply within the first 14 days. MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) two years of full-time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below. Substitutions: I. A Bachelor's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.* II.
