Description

Bolton & Menk has a great opportunity for an Administrative Assistant to join our Twin Cities metro team supporting our Chaska office. We are looking for an enthusiastic assistant who can anticipate needs and work on a wide variety of administrative and project support services for our multidisciplinary offices. This is a jack-of-all-trades position with an emphasis on clerical support, meeting set up and coordination, vendor management, facility maintenance, and front desk receptionist duties. If you have clerical experience & enjoy working on multiple tasks, then we are looking for you! What You Will Be Doing:

  • Prepare and maintain spreadsheets for bid schedules, construction pay estimates, project lists, project manuals, and other various documents as directed.

  • Maintain data files for all rezoning efforts.

  • Prepare correspondence and various reports as directed.

  • Coordinate logistics for office events, training, client visits, and other activities to include ordering food, setup and clean up.

  • Perform receptionist duties.

  • Create mail merges.

  • Order office supplies.

  • Processes or assists with incoming/outgoing mail, packages, and documents.

  • Maintains central filing system for office.

  • Communicate with vendors for office maintenance.

  • Create a positive and professional image of the firm and maintain effective working relationships with BMI clients, vendors, and staff.

  • Assist with onboarding of new employees.

Preferred Qualifications:

  • Experience coordinating with property management to ensure maintenance contracts are fulfilled such as: lawn care, snow removal, building maintenance, etc.

  • Experience in construction or engineering service.

  • Experience in Microsoft Office Suite – Word, Excel, Outlook, and PowerPoint.
