Job Summary:
The Senior Purchasing Assistant plans, schedules and monitors inbound movement of materials from suppliers in addition to providing leadership, direction, and support to the purchasing function.
Essential Duties/Responsibilities:
Participates in monthly inventory counts
Monitors inventory counts and proactively notifies management as needed
Prepare and execute purchase orders, ensuring job costs are properly reflected
Maintains purchasing records
Performs vendor research and selection to enhance profitability, reduce costs and boost efficiency
Monitors vendor performance, providing feedback to General Manager
Works with warehouse staff to reconcile receiving discrepancies
Determines material requirements and coordinates the efficient movement of materials to Division operations
Coordinates with other departments to ensure the timely flow of materials within an established timeframe
Responsible for min/max inventory levels according to the season, usage trends and product availability
Prepares and completes RFQ’s for materials with prices directly tied to the fluctuating commodity market, such as copper tubing and wire.
Prepares and completes RFP’s for materials which are not vendor specific to builder’s needs.
Works on distributor and manufacturer accountability, while maintaining an open and transparent relationship
Develops and maintains inventory templates for warehouse and other purchasing team members.
Ensures purchase orders requirements have been met
Oversees preparation of purchase orders
Oversees monthly inventory counts
Keeps Senior Management informed of activities and progress toward goals & objectives
Establishes effective reporting and communication with designated team to ensure that they are appropriately informed of management expectations, polices, procedures and programs
Completes required reports, accounting records and related documents promptly and accurately
Collaborates with other departments as needed
Follows safety policies and procedures

Minimum Requirements:
2+ years prior experience with purchasing duties, preferably in a construction or HVAC company
Intermediate computer skills and able to use Microsoft Office (Word, Excel, PowerPoint and Outlook)
High School Diploma or GED
Excellent verbal and written communication skills
Must be able to communicate in English effectively, both verbally and in writing
Ability to manage projects and resources
Valid driver's license required
Ability to work overtime with little notice; weekend hours may occasionally be required.
Preferred Qualifications:
- Completed college course work

Comfortable working both indoors and outdoors, exposed to all weather conditions (including heat, rain, cold and wind) while wearing appropriate PPE
Physical Requirements:
Must be able to lift/move up to 20 pounds frequently
Frequently performs tasks requiring bending at the waist, kneeling or crouching
Must be able to adhere to long periods of standing, walking or sitting
Ability to hear, understand and distinguish speech and/or other sounds to operate phones or other office equipment safely.
With natural or corrected vision, able to see and focus for close, distance, peripheral vision with normal depth perception
Ability to express or exchange ideas by means of the spoken word to impart oral information to others
Ability to enter text or data into a computer by means of a traditional keyboard or 10-key numeric keypad
Must be able to use arms and hands to reach overhead, signal, grab, hold, lift, turn, push and pull objects and tools
