Description

Our client, a busy litigation law firm seeks a highly organized and motivated Legal Operations Manager to play a vital role in supporting our attorneys and ensuring the smooth day-to-day operations of the firm. The position is open due to the growth of the firm.

Responsibilities:

  • Case Management: Manage the intake and closing of cases, ensuring all necessary documentation is complete and organized.

  • Litigation Support: Prepare legal filings, including formatting documents, compiling exhibits, proofreading, and redacting sensitive information. Electronically file court documents in various jurisdictions.

  • Billing and Finance: Prepare cover letters for attorney bills, manage third-party vendor invoices, process check requests, and follow up with accounting. Oversee timecard approvals for support staff and assist with basic accounting tasks like invoicing and check requests.

  • Project Management: Schedule conferences and depositions, maintain attorney calendars, and manage case deadlines. Identify bottlenecks and inefficiencies in workflows, proposing solutions for improvement.

  • Communication and Collaboration: Draft and send routine legal correspondence, collaborate with the Office Administrator on developing and implementing firm-wide policies and procedures.

  • Office Operations: Manage the ordering of office supplies, closed files, and local webinars. Coordinate general office services with building management and local facilities.

  • Performance Management: Support staff by providing clear job expectations, monitoring performance, and offering feedback.

    Requirements

Qualifications:

  • Minimum 5 years of experience in a legal environment, preferably within litigation

  • Strong organizational skills with a keen eye for detail

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal case management software

  • Excellent written and verbal communication skills

  • Ability to work independently, manage multiple tasks, and prioritize effectively

  • Strong analytical skills and a problem-solving mindset

  • Ability to maintain confidentiality and discretion
