REQUIREMENTS: ALL Applicants must be:

    Primary Function: Responsible for the fair and consistent administration and communication of all employee/personnel policies and procedures. Focus on employment needs with an emphasis on the day-to-day changes for the employee population, and assist employees and managers with questions related to personnel changes, benefits, and leaves of absence programs.

    Typical Duties include but are not limited to: Administering the personnel practices and procedures to meet the ongoing needs of all Crowder employees through:

  • Coordinate the Onboarding Process , including:

  • Coordinate the electronic onboarding paperwork, including approval of all identification, forms, and checklists.

  • Run E-verify and coordinate with hiring managers on any follow-up actions required.

  • Process onboarding packages and activate new hires into CoinsOA in accordance with Position/Classification Guidelines as directed.

  • Build a strong working relationship with all Hiring Managers and Job Clerks, to ensure they understand our policies and practices.

  • Provide assistance and direction to New Hires and Hiring Managers in relation to onboarding paperwork and processes.

  • Maintain Crowder’s Drug Free Workplace Policy and Procedures, including:

  • Process drug test results, including pre-employment, random, post-accident, etc on a daily/weekly basis.

  • Maintain inventory and distribution of materials to job site Division Offices.

  • Coordinate pre-employment drug tests

  • Manage the Personnel File for each employee (active and inactive), including:

  • Index and verify personnel-related documents in electronic file for accuracy.

  • Manage the full lifecycle of employee changes and records.

  • Follow-up on information that is needed to make a file complete.

  • Handle employment verification requests.

  • Manage I-9 and E-verify records for accuracy and retention.

    Skills, Knowledge, Qualifications, & Experience:

  • Minimum of two (2) years of direct administrative experience required

  • Bilingual in Spanish and English written and verbal communication strongly preferred

  • Ability to multi-task, work under tight time constraints, and strong attention to detail required

  • Maintain procedural knowledge on regulatory compliance standards and practices

  • Intermediate to Advanced Computer Skills (Word, Outlook, Excel, CoinsOA, File Archive/ECM systems)
