Essential Duties and Responsibilities:

Responsible for benefits systems, modules, data integration’s, file loads, deductions, and advanced reconciliations. Also responsible for quality control, reporting, data analysis, and process documentation/improvements. Provides support with the Affordable Care Act administration, and software tools/applications.

Subject matter expert:

  • Serves as subject matter expert for benefit systems, modules, integrations, file loads, deductions, and reconciliations for a large population (3,000 to 10,000 employees)

  • Strong knowledge base of benefits programs/administration

Data Analysis – payroll files (semi-monthly):

  • Reviews vendor payroll files applied to the HR System that add, change, or terminate deduction records, based on transactions made and approved in benefit systems

  • Calculates and enters arrears and refunds, and other manual entries.

  • Researches and resolves data integration issues from payroll files received from vendors

Error reports (daily):

  • Researches and resolves data integration issues from demographic files sent to vendors

Benefits reconciliations (monthly):

  • Researches and resolves deduction and data discrepancies, consults with employees and vendors accordingly

  • Incorporates data from multiple sources into the reconciliation reports (prior notes, employment and leave of absence status, goal amounts, deduction totals, arrears, etc.)

  • Adds, changes or cancels deductions accordingly, including collections/refunds

  • Identifies pending issues with benefits billing, and any terminated employees, and coordinates with other team members for follow up actions

  • Conducts benefits consultations related to file loads, deductions, and reconciliations follow-up

    Annual/special enrollments:

  • Attends informational/training sessions from vendors and governing bodies

  • Works with HR System support to complete vendor questionnaires to share important information about deduction codes, attributes, payroll calendar and timing for the upcoming play year file loads

  • Works with HR System Support to identify and carry out multiple steps for open enrollment schedule of benefit system tasks, including mass terminations of benefits at the end of the year, open enrollment file loads and maintenance files

  • Conduct detailed review of test and production files and environments

Other essential job duties:

  • Benefits quality control, reporting, and data analysis

  • Process documentation and improvements

  • Affordable Care Act ( ACA ) administration support

  • Technical support with software tools/applications

Minimum Experience / Education:

  • Bachelor’s degree in Human Resources, Business Administration, Accounting, Computer Science, or other discipline related to the area of assignment from a four-year college, or an equivalent combination of education and experience.

  • A combination of 3-5 years of education and direct work experience or equivalency, with benefits administration, systems, data integrations, deduction management, and accounting/reconciliations.

  • Proficient in MS Excel

  • Advanced technical, accounting and critical thinking skills

Preferred Education Skills and Experience:

  • Experience with benefits administration in the State of North Carolina system.

  • Experience using Google suite.
