HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:
The scope and variety of responsibilities requires the candidate possess proven organizational skills, attention to detail, sound judgment, confidentiality, tact, initiative, and the ability to prioritize and multi-task
The candidate must also be a team player who can also work independently, with minimal supervision, and who possesses risk management, analytical, and critical thinking skills
Excellent customer service and communication skills, both verbal and written, are essential, as the selected candidate will frequently interact with personnel across the Sponsor and Intelligence Community (IC). These actions will include, but are not limited to:
Answering calls and emails, checking voicemails and faxes daily, retrieving mail weekly during the Financial Disclosure Form (FDF) busy season, receiving visitors, and reviewing, prioritizing, processing, responding and/or forwarding for action as appropriate
Providing clear, concise, and accurate information, through verbal and written communication, to staff and contract personnel, resolving issues and concerns with discretion and tactfulness
Quality Control of FDFs, reported financial anomalies, and any other Staff-related documents to include receiving, reviewing, returning for corrections, filing and/or uploading, and forwarding as appropriate
Retrieving, reviewing, documenting, tracking, and uploading and/or file FDFs, reported financial anomalies, and any other FAS-specific documents to the appropriate database or storage location
Assist with maintaining, organizing, managing, enhancing, tracking actions, and utilizing the FDF web application, Tableau dashboards, share drives, SharePoint sites, and any future tools or applications utilized by the Staff
Assist with the drafting, collecting, editing, updating, organizing, and documenting of Branch and/or Staff-level SOPs, FAQs, canned responses, and templates
Creating, collecting, updating, printing, and disseminating phone lists, seating charts, name tags, and any other contact information for the Staff
Drafting, compiling, proofreading, and editing correspondence, written reports, articles/workforce communication, presentations, briefings, agendas, and read ahead materials and disseminating appropriately on behalf of the Staff to various audiences
Compiling metrics of FDF compliance statuses, file reviews, reported financial anomalies, caseloads, and any other Staff-level metrics upon request
Submitting, requesting, collecting, storing, and properly tracking all applicable access and role requests to include adding and removing accesses/roles in a timely manner, ensuring access is limited to individuals with a need to know
Scheduling Staff-specific meetings upon request to include, but not limited to booking a conference room, providing links, read ahead materials, managing updates, recording minutes, tracking attendance, tracking action items, and follow ups
Providing FAS training materials to Branch and/or Staff-level personnel as necessary or to other personnel upon request
WHAT YOU'LL NEED TO SUCCEED:
The position requires an active TS/SCI with Polygraph clearance
HS Diploma and 3 years of relevant experience or equivalent combination of education and experience
Core hours 9am-3pm
Candidate must be able to operate in a team environment as well as successfully work on their own
