Gummi World Office Manager in Chandler, Arizona

Gummi World is looking for an Office Manager to join our amazing team in our Chandler office. We are looking for a rock star who is positive and embraces diversity. The Office Manager is responsible for overseeing the general administrative and office functions, while providing administrative support in the office. The ideal candidate will have prior office management experience working in an office supporting multiple levels of managers.

Responsibilities: 

  • Assists with clerical duties and supports staff with their assigned duties, particularly when more advanced, skilled, or sensitive work is required.

  • Assist with HR functions such as facilitation during the interview process, gathering new hire paperwork, helping with onboarding, and organizing files.

  • Manages all administrative functions of the office, including but not limited to answering phones, scheduling appointments, and meetings, handling correspondence and managing invoices.

  • Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.

  • Must have office experience with the ability to wear multiple hats, multi-task and prioritize in a fast-paced environment.

  • Directs office activities and functions to maintain efficiency and compliance with company policies.

  • Prepares agendas, makes travel arrangements, and maintains calendars for senior management.

  • Managing payables and receivables, which may include maintaining expense reports.

  • Maintains office supplies inventory.

    Performs other related duties as assigned.

  • Required Skills/Abilities:

  • Excellent organizational skills and attention to detail.

  • Excellent verbal, interpersonal and communication skills.

  • Excellent time management skills with a proven ability to meet deadlines.

  • Strong supervisory and leadership skills.

  • Ability to prioritize tasks and to delegate them when appropriate.

  • Ability to function well in a high-paced and at times stressful environment.

  • Basic understanding of how to operate standard business equipment.

  • Familiarity with QuickBooks (Entry to mid-level)

  • Proficient with Microsoft Office Suite or related software.

  • A high school diploma or equivalent is required; Bachelor's degree preferred, or equivalent work experience.

  • Six to eight years of previous office management experience

    Nice to haves: 

  • Six to eight years of previous office management experience .

  • Knowledge and practice of soft skills.

  • Bilingual in Spanish a plus.

    Physical Requirements:

    Prolonged periods sitting at a desk and working on a computer.

    Must be able to lift up to 15 pounds at times.
